Department Summary
The Office of Academic Affairs supports the academic mission of the Texas College of Osteopathic Medicine. Our team is responsible for the development, implementation, and assessment of the Osteopathic medical degree program. We work collaboratively with faculty, staff, and students to develop an ever-improving learning environment through faculty development, curricular innovation, and assessment.

Position Overview
The division of academic affairs in the Texas College of Osteopathic Medicine coordinates the organization and delivery of all medical education courses and events. The team member will perform specified administrative course coordination and support for the related faculty, students, and course events. Primary job responsibilities include working with the Senior Associate Dean for Academic affairs, curriculum directors, course directors, section directors and faculty on the organization and implementation of specific courses sections and events in TCOM medical education. This role is expected to organize and run these activities with minimal supervision.

Minimum Qualifications

Bachelor’s degree and two (2) years of related experience; or equivalent combination of education and experience.

Preferred Qualifications
The preferred candidate will possess the following additional qualifications: * Proficiency with Office Suite Programs * Proficiency with CANVAS Program * Ability to facilitate Objective Structured Clinical Examinations (OSCE) * Ability to effectively record Student Medical Practice Grades * Ability to develop Rotation Schedules for Testing of Students * Ability to work with Clinical Department Coordinators & Chairs to maximize Medical Practice Productivity

Job Duties

o
Assist course director(s) in the design, development and preparation of course and testing materials.

o
Collect and submit student grades per week.

o
Organization and coordination of Year I course(s) under the direction of Course Director(s) and department academic coordinator.

o
Contact teaching faculty regarding their lectures, lab assignments, online grading and discussion boards, etc.

o
Prepare and maintain online platform and keep all course documents up to date for student and faculty involved in the course weekly.

o
Assist in preparation, publication, and distribution of syllabi, written exams, practical exams, course correspondence to faculty and students.

o
Actively assist in monitoring classroom assignments and relaying changes to all concerned.

o
Compile and ensure all grades are accurately recorded and average according to rubric set in syllabus and submit to testing services by deadlines set each semester.

o
Pull grades from CANVAS Grade Center and iGrader weekly and submit to testing services.

o
Assist in the timely posting of lectures, quizzes, lab materials, videos, discussion boards, weekly assignments, clinical competency schedule and student study materials etc. to the online platform.

o
Assist in the design, preparation and administration of practical exams.

o
Assist during practice training sessions, i.e., ensure attendance sheets are correct and distributed to faculty; AV equipment is operational and prepared for each session; ensure faculty, fellows, and residents are present.

o
Track and submit CME for all faculty involved in course quarterly and/or within 3 weeks of end of semester.

o
Make all room reservations and ensure rooms are presentable and adequately supplied on days used.

o
Monitor CANVAS and download all material added by Course Director.

o
Attend all meetings and training for course directors and coordinators as needed.

o
Make changes to Roster, CANVAS, iClicker and all related documents as information is provided from registrar.

o
Enter Core Clerkship grades into EIS, copy packet (grade report, clinical evaluation and case report) and email to student and Clinical Education.

o
Assist in scheduling and coordinating of events.

o
Answer the telephone in a professional manner; personal calls are kept to the minimum; and messages are relayed promptly.

o
Send reminders via email, memoranda, or letters as requested.

o
Run errands on campus, as requested.

o
Prepare and collate copied materials to the satisfaction of the requester.

o
Perform other duties as required on a temporary or emergency basis.

o
Work with academic team to cover all department academic needs.
