Position Description

The Laboratory Protection Division has an opening for a Senior Administrative Services Assistant to provide administrative support within the Maingate Visitor Center and the Badge Office. The position is for a highly skilled and motivated individual that will perform basic and complex administrative tasks, for both the Maingate Visitor Center and the Badge Office.

Position Requirements


Essential Duties and Responsibilities:

Roles:

  • Provide support to the Badge Office/Maingate Visitor center in administrative functions, which includes but not limited to:
  • Verify authorization to access the site by consulting the Visitor’s database, People/Soft, and TBIS.
  • Process all the events for the laboratory including Open to the Public.
    • Issue temporary photo identification passes.
    • Check Visa, Passports, and all required Immigration Documents for site access.
  • Prepare and issue ID badges for all Laboratory employees, guests, retirees, and family members.
    • Issue vehicle stickers and placards.
    • Input accurate data in the vehicle registration system.
    • Encode badges for access using the C-Cure system.
    • Run various reports in C-Cure for departments.
    • File, and maintain files for all badges issued.
  • Respond to questions and resolve problems related to the badging office.
  • Provide customer service to visitors and assignees to BNL.
  • Collect expired badges; badges returned to housing and human resources, etc., then enter history into C-Cure system and destroy badges.
    • Utilize computer system (Label Writer) to generate temporary badges.
  • Main back-up for processing and screening visitors at the visitors’ reception center at the main gate.

Required Knowledge, Skills, and Abilities:

  • Requires six (6) years of relevant experience; or a Bachelors degree in a business field plus two (2) years of relevant experience; or an Associates degree plus four (4) years of relevant experience. Additional education in related fields may offset qualifying experience.
  • Ability to handle non-routine office matters.
  • Must be highly efficient, well organized and have problem solving skills.
  • Excellent verbal and written communication skills
  • Ability to work independently and prioritize workload.
  • Ability to handle multiple areas of work.
  • Ability to identify and resolve issues encountered within own area of responsibility, act proactively to develop solutions and provide recommendations to avoid problems
  • Proficient in Microsoft Office software suite (Outlook, Word, Excel), SharePoint, PeopleSoft HR/ PeopleSoft Financials, and/ or similar Human Resources/ Financial Management systems.
  • Excellent interpersonal skills; collaborative, team-orientation

Preferred Knowledge, Skills, and Abilities:

  • Familiarity with C-Cure System, TBIS, Dymo Label (Visitor Badges)
  • Familiarity with Visa, Passports, Immigration Documents
  • Familiarity with Adobe Professional
