Scheduling Coordinator with East Carolina Anesthesia (ECPC Pain Specialists)

ECPC Pain Specialists is a division of East Carolina Anesthesia Associates and provides services at 13 locations in 9 counties throughout North Carolina. The Pain Management Professionals in each location treat various aspects of acute and chronic pain conditions in both the inpatient and outpatient setting. Among the fastest growing pain management clinics in the Southeast, ECPC clinics are currently found in Greenville, Wilson, Goldsboro, Hickory, Apex, Knightdale, Lenoir, Wilmington, Roanoke Rapids and Nags Head, North Carolina. We use innovative technology as well an array of comprehensive treatment plans, that are unique to each patient, to diagnose and treat acute and chronic pain.

Description/Scope of Work:

Fast-paced pain clinic is seeking a self-motivated and friendly scheduling coordinator. This position is responsible for scheduling patient appointments in an efficient and timely manner. Answers all incoming calls with courtesy and directs calls to appropriate clinic personnel. Serves as a liaison between patients and medical staff.

Schedule: Full-Time, non-exempt - Monday through Friday (7:30 am - 4 pm)

Essential Duties and Responsibilities:

  • Answers all incoming calls professionally and with a courteous and friendly attitude; assesses callers’ needs and directs to appropriate personnel. Obtains and communicates messages in an accurate and timely manner.
  • Schedules new patients and return appointments in the computer system in accordance with physician and/or office guidelines.
  • Cancels/reschedules appointments according to physician schedule changes; notifies appropriate clinic personnel.
  • Utilizes Electronic Medical Record System to obtain or document patient information.
  • Obtains and enters all authorization and correspondence relating to referrals in patients’ charts.
  • Schedules outpatient appointments upon request. Obtains necessary pre-certification as required.
  • Handles new patient referrals, gathers necessary information, and schedules appointments.
  • Collects co-pay, deductible, and other out-of-pocket amounts at the time of visit.
  • Handles incoming phone calls from patients needing to schedule or reschedule appointments.
  • Maintains composure when dealing with difficult situations.
  • Provides patients with accurate and legible appointment cards. Documents no-show in patient's chart for missed visits.
  • Demonstrates an understanding of patient confidentiality to protect the patient and clinic/practice and adheres to HIPAA Security regulations.
  • Follows policies and procedures to contribute to the efficiency of the front office. Covers for other front office functions as requested.

  • Other duties as assigned.

Required Education and Skills:

  • High school diploma
  • 2+ years’ minimum experience in a medical office/clinic setting using EMR
  • Knowledge of medical terminology and insurance plans
  • Ability to learn software quickly and operate a computer, fax machine, and email
  • Must be detail oriented and have strong reading/writing skills
  • Must possess a professional attitude and telephone courtesy
  • Ability to prioritize and multi-task in a fast-paced and changing environment
  • Must be self-motivated and take initiative
