Reports To: Director of Sales

Position Summary:

The Group Sales Coordinator's primary role is to perform general office duties to support the sales and marketing team for our area hotels in Pigeon Forge, TN. Current hotels include: Riverstone Resort and Spa, Courtyard by Marriott Pigeon Forge, La Quinta Inn and Suites, Quality Inn Near the Island, and Econo Lodge Riverside.

Experience:

Two or more years of experience working in a hotel, clerical or sales. Previous experience working in a similar role.

Basic understanding of the hotel industry

Speak with others using clear and professional language

Working knowledge of standard office administrative practices and procedures

Positive attitude and excellent customer service skills

Proficient in the use of Microsoft Office and/or Google Docs

Qualifications:

Must have a passion for the hospitality industry, be well organized and self-motivated, have high computer proficiency skills, and be well-written and well-spoken

Duties and Responsibilities:

As an integral member of the sales and marketing team, the Group Sales Coordinator provides office support as follows:

• Answer inbound telephone calls, respond to caller inquiries in a pleasant manner, answer general questions about our hotels and facilities, and direct calls to team members
• Enter and maintain database record details in the CRM system
• Serve as the point of contact for clients and communicate with them by phone and email
• Contact clients for required information throughout the lifecycle of the booking process to ensure critical deliverables and deadlines are met
• Generate reports, prepare proposals, and prepare sales-related documents
• Ensure all documents produced by group sales team are completed accurately and on time
• Gather materials and assemble information packages for mailouts
• Enter and maintain area event calendars
• Meet with clients in absence of group sales team member, including performing hotel site tours and greeting groups
• Other duties as assigned by the Director of Sales
