Sales Coordinator
The Sales and Events Coordinator assists Director of Catering and the property’s sales activities in accordance with the Marketing Plan and market segments; coordinates with other departments the service activities related to the sales and catering function to maximize client/guest satisfaction and overall profitability. They act as a liaison between the hotel and the clients/guest for all of their group, LNR and meeting/event needs. They communicate all vital information clearly through group resume and Delphi reports.

Responsibilities:
  • Coordinates with various departments the activities related to booked business to ensure customer satisfaction and property profit:
  • Reviews sales work file of assigned accounts to maintain a proper flow of information within the hotel.
  • Logs in activities in Delphi for DOC and Sales manager as needed
  • Updates Delphi pickup, Fast Pay system and other Hilton systems as needed
  • Coordinates guests needs, clarifies and firms details of meeting rooms, functions, menus, and audio visual requirements after a booking is made as assigned by the Director of Sales.
  • Assists in developing and executing projects for market areas as stated in the hotel Marketing Plan to increase sales volume and profitability:
  • Assists Sales Team in conducting market analysis to determine client needs, occupancy potential, rates desired, etc.
  • Assists Sales Team in developing and executing package plans, special sales activities, promotions, public relations activities and materials, advertising, etc.
  • Be an Expert Tracker - the team will know how they are doing based on your meticulous records .Help the department stay on track to reach targets by inputting data into STS and maintaining sales traces to meet sales call goals. Using your eye for detail and passion for order, maintain records for later reference and reporting.
  • Participates as required in solving problems with other departments related to booked business
  • Communicate with clients and determine rooming and event space needs.
  • Navigate problems with accommodations and function space conflicts.
  • Potentially act as liaison and compromise between client/guests needs and property facilities.
  • Contact customers in-house to promote good will and foster additional business, repeat bookings, and referrals.
  • Distributes handwritten notes and amenities to arriving guests of our top and target accounts.
  • Follows up on progress of groups booked, such as room night pick-up, rooming lists and cut-off dates, with the Front Office Management to insure maximum occupancy on a daily basis.
  • Makes maintenance calls required to coordinate all arriving groups, request rooming lists, arrange details for meeting and group rooms and to ensure that contracts are received on a timely basis
  • Enhances the property’s community image and stays abreast of competition, new developments, and sales methods and techniques in the hospitality industry to maximize profitability.
  • Periodically shops competitive hotels.
  • Attends weekly staff meeting to discuss group resumes to maintain favorable working relationships among hotel associates and to promote maximum morale, productivity and efficiency.
  • Prepares reports, as requested, to develop a more informative data base for improved management decision making and critical evaluation of work activities
  • Performs all accountabilities in a timely and efficient manner, following established company policy and projecting a favorable image of NHG and the hotel.
  • Works to achieve SALT objectives.
  • Keeps the Sales team promptly and fully informed of all problems or unusual matters of significance coming to his/her attention so prompt corrective action can be taken when appropriate.
  • Performs other duties as Requested
Educational/Vocational Preparation:
A High School Diploma/GED is required.
Qualifications:
  • Hilton and Hilton PMS systems experience required (OnQ)
  • Requires familiarity with applicable franchise standards and procedures.
  • Must possess knowledge, skill, and ability in hotel/resort sales, to include the development of sales goals, budgeting, forecasting, development of marketing plan, design of client programs, knowledge of room rates, function space rates and availability, knowledge of all market segments.
  • Requires written communication skills.
  • Must possess ability to professionally represent the property both to the guests and to the surrounding community.
  • Ability to follow schedule and ability to perform physical labor.
  • Self-motivation and the ability to work in a team environment.
