THIS POSITION DOES NOT START UNTIL MID/END OF MAY 2023. IT IS A YEAR-ROUND POSITION PRIMARILY 730A-4P MONDAY THROUGH FRIDAY, WITH OCCASSIONAL NEED FOR SPECIAL EVENTS OUTSIDE OF THOSE HOURS.

Position Purpose: To further the mission of Camp Clover (a program of Clover Family Services, LLC) through the coordination and management of programming, human resources, and strategic operations.

Essential Job Functions:

Oversee the daily operation of the summer youth, and year-round adult respite camps including food service, programming, business/budget camper and staff supervision, health/personal care, and maintenance.

  • Develop and coordinate program schedule and delivery with Clover owner and other designated staff as directed
  • Coordinate sufficient coverage for respite day camp operations.
  • Coordinate Weekly duties with camp leaders. Oversee their implementation of consistent procedures and schedules.
  • Oversee hiring, training, and scheduling of camp leaders.
  • Develop and oversee the business management functions of the camp including financial record keeping, office operations, database management, camp store, camp snacks, camp supplies, etc.
  • With the Owner and other designated staff, maintain camper and leader information in the database used.
  • Coordinate maintenance needs with camp owner.

Oversee the financial management of program budget and billing to ensure adequate funding.

  • Develop budget alongside the finance director and owner for summer camp operations.
  • Monitor budget for camp operations.
  • Approve billing for submission to administration.
  • Approve or deny expenditures.
  • Maintain inventory control and place orders for kitchen and program supplies.

Implement human resource management practices to recruit, hire, and train staff.

  • Recruit leaders based on camper enrollment and program requirements.
  • May make staff hiring recommendations to the owner
  • Schedule weekly leader assignments.
  • Coordinate pre-camp leader training.

Create and manage communications with parents/guardians, campers, leaders, volunteers, and alumni.

  • Maintain communications with parents/guardians, alumni, and leaders.
  • Coordinate and distribute leader and staff manual.
  • Maintain our camp social media.
  • Complete the Annual Report.

Manage camp office

  • Oversee mail distribution.
  • Oversee camper emails and posting daily photos.
  • With the Owner, maintain registration database.
  • Communicate with parents/guardians regarding camper or leader situations.
  • Facilitate evaluations of camp program, and leaders.
  • Ensure that all records, materials, and equipment are accounted for and securely stored.

Manage maintenance needs that directly impact delivery of summer program.

  • Assess property and maintenance needs regarding safety.
  • Assess property, maintenance and materials needs related to program delivery.
  • Communicate with Owner to address needs.

Ensure that facility and program remain in compliance with current state and federal requirements.

  • Have a good working knowledge of state and federal requirements.
  • Revise documentation as needed.
  • Communicate requirements to appropriate persons involved in the running of camp.
  • Oversee compliance with requirements in all areas.

Other Job Duties:

  • Oversee check-in/check-out procedures
  • Attend training sessions as needed.
  • Any tasks that may arise related to the success of the respite day camp program.

Relationships:

The Respite Day Camp Director will work collaboratively with internal and external individuals and groups to ensure the enhancement of the camp operation. These individuals and groups include but are not limited to: Owner, Financial Director, HR Director, County Case Workers, camp leaders, community agencies and organizations, and parents/guardians. Many of the people who make Camp run are camp leaders and volunteers, so the Respite Day Camp Director must be able to lead, inspire, and manage them effectively.

Equipment Used:

Respite Day Camp Director will use the computer to access the internet for a variety of purposes including but not limited to: database, camper photo sharing and email delivery system, Camp social media and email. Online supply ordering. Director must also be able to use a digital camera, video camera, and projector. Will also operate cell phone and office phones to coordinate services.

Qualifications:

This position requires a Bachelor’s degree and experience with the population served. Prior management/supervisory experience preferred as well. Additional experience with programming and administering programs that reflect the camp’s population is desirable. Computer skills are required. Training and experience in working with children, teens, and young adults.

Physical Requirements:

This position requires the ability to present yourself in a professional manner, communicate, listen to others, observe others’ actions, read text and information; comprehend instructions and manuals, plan and organize, and physically move about the camp property in various environmental conditions. Must be able to occasionally assist to lift up to 100lbs.

Salary:

Salary is commensurate with experience, $45,000-53,000 annually, exempt. Vacation, PTO, and paid holidays included.
