Position Description

Cold Spring Harbor Laboratory is seeking a Research Agreements Specialist in the Office of Sponsored Programs (“OSP”). This position is responsible to ensure that institutional policies, laws, and regulations regarding sponsored support are proactively addressed and adhered to.

Position Responsibilities

  • Serve as CSHL's lead for the coordinated review and execution of incoming and outgoing sub-award and Other Transactional Agreements (OTAs).
  • Review and update sub-award documentation to ensure compliance with institutional, Federal and other third-party sponsor requirements.
  • Ensure that appropriate risk assessments are designed, executed and re-evaluated as needed.
  • Proactively facilitate the timely preparation of new and continuing incoming and outgoing sub-award agreements.
  • Assist OSP Senior Managers in the preparation and submission of associated sub-award documentation and requests that may include: Prior approvals such as carryover, no-cost extensions, transfers, issuance of Foreign sub-awards etc.
  • Manage and coordinate progress reports that include subawards.
  • Interface with collaborating institutions to complete subaward preparation and related documentation.
  • Coordinate with CSHL Legal, Accounting, Intellectual Property and Compliance Departments and staff to address and resolve issues related to subaward terms and conditions, insurance, financial conflicts of interest, indemnifications etc.
  • Ensure that subaward checklists are developed and completed for each subaward or subaward modification.
  • Support CSHL scientists with subaward budget preparation.
  • Maintain a schedule and database of incoming and outgoing subawards to track active subawards and their status or state of completion.
  • Assist in reviewing all continuing awards and provide instructions for their set up in the CSHL accounting system.
  • Participate in other post award responsibilities as needed.

Position Requirements

Education:

  • BS or BA degree required, JD preferred

Experience:

  • 1-2 years of contracts, administration, and legal experience required

Knowledge/Skills:

  • Excellent communications skills
  • Ability to work under deadline pressures
  • Strong organizational skills with the ability to prioritize and manage large volumes of work
  • Proficiency in Microsoft Office Suite
  • Experience in developing, preparing, reviewing, and monitoring contract agreements & documentation
