The Relocation Project Manager will provide direct leadership on the overall direction of relocation and decommissioning projects for our corporate clients.

The Relocation Project Manager will be a part of our national business transitions and move management team. BTMM is the last leg of project management delivery. BTMM helps companies relocate, restructure or downsize, managing not only the physical relocation but the overall Business Transition, guiding the communications relative to the technological and operational changes impacting employees so that they are operational on day one and clients can effectively manage expectations.

Essential duties and responsibilities

Determine CBRE resource requirements, allocate time commitments and tasks and establish project fees.

Develop project scope and subtasks for CBRE team members and each subcontracted service provider. Communicate scope to assigned to staff, vendors and subcontractors and manage progress and outcome.

Develop overall relocation strategy; prepare and distribute relocation charter.

Develop and issue Requests for Proposal for all move-related vendors; provide bid analysis and recommendations.

Develop move plans to include detailed move logistics plan for all move phases within MS Project or MS Excel as per BTMM process.

Develop project contingency plans, document and track.

Apply BTMM standardized processes and documentation throughout project and build client specific process and documentation for CBRE team use.

Coordinate and chair move team meetings; document and distribute meeting minutes.

Develop, track and manage overall relocation budget. Supervise the approved fee vs expended fee and report status monthly.

Create and maintain high level and detailed move database logistics/migration plans, for office relocation, fit-out and other projects.

Lead relocation coordination meetings with end users and other major stakeholders, providing regular updates on project progress on scope, budget, schedule and risks. Document and distribute meeting minutes.

Generate move database, using mail merge to develop pre-printed move labels, signage and drawings.

Create and present information and presentations for client’s executive level management as needed.

Prepare complex project timeline and manage milestones in MS Project.

Develop relocation schedule, identifying major tasks and resources required.

Develop move communications plan and materials.

Oversee and lead relocation team(s). Provide oversight to all third-party vendors and subcontractors. Develop and train departmental move coordinators.

Audit move process for best practices, lessons learned and process improvement.

Build and manage post move survey process, report results.

Coordinate post move activities and lessons learned.

Create Case Study; provide move metrics data to management (size, number, vendor cost breakdown, survey results, etc.).

EDUCATION and EXPERIENCE

  • Bachelor’s degree and at least four years of related experience in more than one of the following areas: move management, facility management, interior design, architecture, engineering, or related field.
  • Knowledge of the steps involved in move management and decommissioning management is required.
  • Solid understanding of current business technologies (Telecom, IT, Electrical, Mechanical and Lab environments).
  • Prior experience managing corporate moves larger than 300 people is highly desired.
  • Experience working within Pharmaceutical, Manufacturing, Healthcare, and/or Life Sciences environments is preferred.
  • Ability to effectively connect with people throughout all levels of the organization (admins to CEO).
  • Ability to present to large groups of people (50 – 500) is required.
  • Ability to provide calm reassurance to client and help them through very stressful phases of projects is required.
  • Provide mentorship to subordinates or vendors where needed to deliver a high-level of customer service to our clients.
  • Ability to lead virtual project meetings as well as the ability to conduct on-site client meetings.
  • Ability to view project requirements at both a macro and micro level.
  • Ability to schedule and prioritize tasks based on client needs and project constraints.
  • Ability to manage a project and deliverables to approved scope and fee.
  • Excellent time management skills to start and complete multiple layers of tasks concurrently.
  • Excellent logic, reasoning and presentation skills with a strong attention to detail.
  • Ability to review contracts and understand associated liabilities.
  • Possess the drive to consistently exceed client expectations and deliver successful project outcomes.
  • Possess creativity and problem-solving abilities and work under deadlines and in a fast-paced environment.
  • Willingness to work weekends and possibly some holidays and the ability to travel throughout the Northeast region to client sites is strongly desired.

OTHER SKILLS and ABILITIES : Candidate must have expert command of Microsoft Office Suite (Excel, Word, Outlook, PowerPoint, Smartsheet), and MS Project with strong emphasis on managing, editing and manipulating (mail merge) large MS Excel files and sophisticated Word documents. Experience in Microsoft Publisher, Bluebeam and/or AutoCAD.
