The Regional Coordinator will be responsible for providing coordinator support to the Director of Distribution and other members of his/her Leadership Team. Support is also given to the entire Distribution department as well as other associates at JOM.

The Regional Coordinator will with minimal supervision will:

  • Provide general coordination support including agenda/calendar management
  • Arrange internal and external meetings, coordinate visits of external/J&J guests, prepare minutes and track action items and organize departmental meetings
  • Create travel arrangements, training and conference subscriptions, expense reports, order departmental office supplies
  • Manage departmental contracts/payments and budgets, independently contribute to identification and implementation of process optimization projects for the group.
  • Process all communications, email, correspondence, mail, and faxes; make ad hoc delegation decisions on communications and implement them.
  • Demonstrates active participation in our Safety program. Attend mandatory Safety meetings and take scheduled SUMMIT modules. Ensure that contractors are screened for safety i.e., holiday vendors
  • Records accomplishments each quarter-end against goals on the Goal tracking form. Be prepared for 1/1 sessions by identifying personal developmental goals and having the tracking form completed
  • Supports the certification process by using the TSA website by processing applications for a security threat assessment enabling a background check for every employee or contractor needing unescorted access to the distribution centers. Maintain a list of employee movement for monthly TSA Reporting
  • Oversees the licensing submittal process of over 100 licenses through a regulatory compliance vendor to make sure that FDC and KDC distribution centers are submitted on time with each of the Boards of Pharmacy’s licensing requirements. Through the coordination of monitoring, supplying the necessary paperwork, and SOP reviews, ensures that JOM is 100% complaint in meeting all its deadlines
  • Review and submit weekly Payroll hours for approximately 65 hourly employees at other sites. (KDC & FDC). Maintain and update records for each employee in the system.
  • Place Coordinator: Create and Manage PO’s support: PO creations and support and Enter/Submit and Coordinate all JOM Capital Orders.
  • Involve new Credo Team members, arrange monthly meetings, plan and coordinate all Credo Events. Proactively work around the Johnson & Johnson Credo Survey discussions to make the Distribution site the best working environment and support and coordinate Blood Drives as required by each site
  • Ordering and Coordination of all JOM Uniforms as required by each site and coordinate all PIV, ERGO & Drug Screening functions as required by each site

Qualifications

  • A minimum of a High School diploma is required, and associates degree is preferred
  • At least 4 years of administrative or related experience is required.
  • Experience with MS Office (Outlook, Word, Excel and PowerPoint) is required.
  • Familiarity with the following systems: Ariba, SharePoint, Concur and Our Source is preferred. Experience making domestic and international travel arrangements.
  • Must have organizational skills and the ability to maintain confidentiality.
