Job Description:

DEPARTMENT: Administration

POSITION: 8 - 4 Receptionist

SUPERVISOR: Executive Secretary


Duties:

Answers telephone through switchboard. Directs calls to and pages appropriate personnel and takes messages when necessary.

Ambulates between photocopy room and reception area within three (3) rings of telephone.

Greets people entering building and maintains up to date resident listing in order to give assistance when needed.

Sorts and distributes all incoming mail and newspapers, documents proper paperwork for incoming packages, and prepares outgoing mail, as well as overnight, FedEx, and UPS packages.

Is the liaison between the day shift duties and relaying information to the night/weekend receptionists on duty of any pertinent information so that the Receptionist Desk runs smoothly.

Assists with typing, photocopying, and filing for all departments as needed including the following:

  • Documents monthly mandatory in-services for the education department. Maintains record of all nursing department in-services for the annual state survey and reports them to Executive Secretary.
  • Copies and assembles social services admission packets on a monthly basis.
  • Copies and assembles HR orientation packets, as needed.
  • Keeps supply of forms in order and up-to-date.
  • Records times of admission of new patients to Rehab, types list and distributes to DON monthly.
  • Type's paperwork and letters for accounting department.
  • Copies and updates dietary labels.

Coordinates transportation of patients/residents with the SNF houses, Rehab Secretaries, Director of Facilities, and Maintenance Driver.

Places service calls to vendor when copy machine(s) is functioning improperly.

Distributes applications in lobby to job applicants.

Receives and verifies deposit from cafeteria and gift shop representative, maintaining accuracy and supplying receipt.

Receives money from residents/family members for personal account, telephone deposit, etc? and supplies them with a receipt.

Receives clothing from residents/family members for laundry services, documents them, gives family copy of paperwork, and distributes clothing to laundry personnel.

Organizes and maintains cleanliness of gift shop as well as takes money for any purchases made.

Receives and documents the selling of tickets and handling of money for many fundraisers.

Distributes paychecks bi-weekly.

May need to work some holidays and weekends.

Performs duties according to the highest ethical and moral standards and in adherence with the facility's corporate compliance plan and all applicable governing laws. Adheres to the facility's confidentiality statement in accessing and safeguarding protected health information (PHI) of residents and employees, as necessary to perform job duties.

Performs any other duties as assigned by Supervisor.



Requirements:

Qualifications:

High school graduate or equivalent, college education preferred

Well organized with the ability to type, file, keep records, operate office machinery, and handle money when necessary

Knowledge of computers and Microsoft software programs
