Job Summary*
The individual in this position provides the first impression of the agency to the public and is responsible for maintaining a welcoming and functioning front desk for the agency. Performs multiple office functions including reception (greeting and welcoming patients, members of the public, and staff), medical record keeping, computer related tasks, and other administrative duties. The nature of this position is extremely fast paced, involving regular multi-tasking and patient and staff interaction.
Job Functions (May Include)
Reception:

  • Greet patients
  • Greet visitors and vendors, have them sign into visitor log and give a visitor badge
  • Answer phone
  • Communicate to various departments (medical, counseling, public safety) as appropriate, by computer messaging, phone, or email; in addition to staying up to date with Clinic voicemail
  • Collect, stamp, and distribute daily mail, both external and intercompany
  • Facilitate counselor-patient flow
  • Facilitate Counselor of the Day flow
  • Answer inquiries from patients and public
  • Conflict resolution with patients
  • Monitor patient behavior and activity; collaborate with ETS Public Safety as needed
  • Regular interaction with a wide variety of ethnic, socioeconomic and cultural backgrounds.

Administrative:

  • Regularly use the agency electronic medical records system to schedule appointments, provide schedule reminders to patients, indicate patient attendance
  • Provide medical schedules to providers
  • Assist intake staff with information flow to prospective patients seeking treatment
  • Maintain medical charts (filing, thinning, auditing, creating, archiving)
  • Miscellaneous filing
  • Update staff phone list on a quarterly basis
  • Maintain staff schedules and calendar (track absences and vacations)
  • Take and upload patient photos into electronic medical record
  • Copy forms and documents as needed
  • Clean and straighten work area and patient lobby daily

Requirements:

  • High school diploma or equivalent required. Bachelor’s degree preferred.
  • At least one year of experience in reception or in a position providing customer service, preferably in a medical or mental health setting.
  • Computer literate, with basic knowledge of Microsoft Office Suite, as well as a high level of initiative in keeping current with technological change. Willingness to expand computer skills as requested
  • Ability to prioritize workload and activities of self and complete tasks in a timely and efficient manner.
  • Dependable, able to work under pressure, receptive to change, willingness to learn, cooperative approach to problem solving.
  • Ability to establish and maintain effective working relationships with staff, patients, and outside contacts from a wide variety of ethnic, socioeconomic and cultural backgrounds; good diplomatic skills.
  • Possession of a valid Washington State Motor Vehicle Operator’s License (local travel on behalf of the Agency may be a job requirement).
  • Must be able to pass a criminal background check.
  • Flexible team player with excellent attention to detail.

Evergreen Treatment Services (ETS) is a mission-driven nonprofit organization specializing in substance use treatment and homeless outreach services. ETS has been serving the Puget Sound region going on 50 years. Our work is organized into two areas: Clinic Services and REACH.
Our Clinic Services team provides medication, counseling, and treatment to more than 3,000 people with substance use disorder at three clinics in Seattle, Renton, and Olympia, Washington. REACH provides street-based social services for more than 4,000 people living outside or unstably housed, many of whom have had interactions with the criminal legal system. Many ETS participants have endured trauma and harm from broken and oppressive institutional systems that are often the root cause of their substance use. We strive to uplift the humanity and dignity of each person we serve as we walk alongside them on their journey to better their lives.
