Primary Purpose of Position
The Ranch Ambassador is responsible for pre-booking all activities, spa treatments, and special requests for each guest reservation as well as acting as a Ranch host when guests are on property.
Essential Duties and Responsibilities
  • Act as the single point of contact for each assigned guest to assist with planning prior to their stay.
  • Follow pre-booking timelines and communicate with guests in a timely and efficient manner.
  • Communicate with guests in a polite and hospitable manner.
  • Anticipate guest needs by asking probing questions about their upcoming visit.
  • Note and confirm guest requests with all pertinent guest information.
  • Accurately record all bookings in customized guest itineraries.
  • Ensure all guest details are accurately recorded in the PMS / activity schedule and communicated to all Ranch departments and other stakeholders.
  • Communicate extraordinary requests, guest issues and any other pertinent information to management.
  • Maintain accurate notes and traces to ensure full and proper follow-up to all action items.
  • Act as Ranch host welcoming guests, answering questions, assisting with any requests or changes to itineraries, and any other aspects needed by guests.
  • Follow all benchmarked standards set forth by Forbes Travel Guide and Relais & Châteaux
  • Maintain paper and online files in a neat and orderly fashion.
  • Maintain a neat work area.

Education/Experience
  • To perform this job successfully, an individual must be able to perform each duty satisfactorily. The requirements below are representative of the knowledge, skills, and or abilities required.   • Must be over 21 years of age.
  • Experience should include prior hotel operations experience. Concierge experience and Les Clefs d’Or certification preferred.
  • Knowledge of Word, Excel and Outlook mandatory, Springer Miller experience beneficial.
  • College or university qualifications beneficial.
Special Skills/Equipment
  • Must have at least a high school diploma.
  • Ability to read and comprehend complex instructions, correspondence, and memos in English.
  • Ability to write complex correspondence.
  • Ability to hold and comprehend phone conversations.
  • Ability to calculate figures and amounts such as percentages and payments.
  • Ability to apply common sense understanding to carry out instructions furnished in written, oral or diagram form.
  • Ability to deal with problems with several variables.
  • Ability to be seated and work on a computer for long periods of time.
  • Must have attention to detail and excellent organization skills.
  • Ability to engage guests in meaningful conversations face-to-face, showing a genuine sense of interest.
