About the Role:
Project Management Team Leads are working managers within the Project Management Team, leading projects solo as the face of the account and supporting a team of project manager(s). Assumes solo lead on smaller projects but supporting PMs on more complex and larger accounts. They will have 1-2 Project Managers reporting to them and assist in training Assistant PMs and PMs and support in larger department process improvements.
Project Management Team Leads are integral in all decisions made regarding project process, timelines, budgets, and resources. Given their years of experience, they are operationally strategic and able to partner with the account team to make key decisions on the account and can be client-facing alongside the account team. They remain high-level on the account from an operationally strategic perspective when it comes to these four main areas, while the day-to-day PMs on the account are handling the details. (Remote)
Responsibilities:
Process
  • Understand the nature of the work performed by each MicroMass functional area (who does what, when, and how long it takes)
  • Oversee and manage end-to-end development of projects per the business process, verify that project deliverables are within project scope and are delivered above expected quality standards, ensuring quality from the beginning to end. Includes med/legal submission prep and submission following client process/guidelines
  • Ability to know when to deviate from process if necessary & come with solutions to on process deviations to maintain efficiencies and keep project within timeline and scope
  • Internal check/balance to verify acceptable quality levels before delivered internally to the Account Team
  • Create project status documents to provide updates across all chains of command, both internally and externally
  • Leads daily and weekly production meetings
  • Maintains PM systems of record (e.g. FinancialForce, Ziflow)
  • Provide project status across all chains of command, both internally and externally
  • Lead ongoing process improvement initiatives within account, including documentation and rollout to team
Timelines
  • Craft initial and ongoing project milestones for MicroMass, clients, and vendor/agency partners
  • Create, update, and maintain detailed project schedules and ensure all deliverables are met per the schedule
Budgets
  • Along with PMs on their team, create, update, and maintain detailed staffing plans and ensure all deliverables are met and stay within the budget
  • Estimate new work on the account, including working alongside account team to develop SOW, includes reviewing estimates and SOWs created by other PMs they manage
  • Monitors project & campaign budgets weekly
  • Preps, attends and leads internal, monthly reconciliation meetings
  • Creates and maintains client budget report with finance assistance as needed
Resources
  • Identify and avert possible risks that impact projects
  • Strong spokesperson and an advocate for the entire team
  • Owns vendor/agency partner relationship in terms of execution and deliverables
  • First point of contact in identifying the need for internal and external resources for existing projects & working with resource and production managers to secure project resources and with other PMs to prioritize resources' work
  • Balance project schedules, deliverables, and resource needs across existing and new projects on the account
  • Reviews monthly staffing projections with resource management
Additional Responsibilities
  • Participate in account planning, providing the execution strategy (pricing, deliverables, and timing) for all projects
  • Presents MicroMass’ capabilities and processes internally and externally based on knowledge of who does what, when and how long execution takes
  • Active listener that brings project teams together to creatively solve challenges associated with project scope, timelines, and deliverables
  • Along with PMs on their accounts, manage and coordinate with outside vendors
  • Build rapport with MicroMass internal development team, outside vendors, agency partners and, where necessary, the client to meet project deliverables on time and on budget
  • Serve as primary contact for client queries and concerns
  • Ability to know when to delegate responsibilities to PMs on team
  • Train, develop and lead project manager(s) on MicroMass and client-specific processes
  • Training of Assistant PMs and PMs on team
  • Managerial responsibilities, including weekly 1:1s, performance reviews, evaluations and feedback, handling personnel issues, supporting team in new work, identify training needs for direct reports to improve professional competence, hiring process, onboarding new hires to MMC and account
  • Supporting Director or Associate Director of Project Management in departmental needs, including process improvements, team trainings, other agency initiatives, interviewing, recruitment, orientation of new hires, promotion, and retention activities.
Requirements:
  • 5+ years of project management experience; 3+ years of agency experience
  • Agency and pharmaceutical marketing experience
  • Bachelor’s degree (BA)
  • Experience managing a project team of 10-15 including, but not limited to, account services, creative, strategist, database, interactive, and print production.
  • Experience working with multiple vendors, managing their timelines and needs.
  • Experience training team members
  • Experience managing direct reports
  • Advanced experience using MS Project or SmartSheets
  • Excellent Excel skills
  • Ability to not only answer how things are done, but why
  • Experience leading process improvement efforts
  • Excellent written and verbal skills
  • Ability to work in a fast-paced environment
  • Organized, self-starter
  • Good interpersonal skills
  • Strong work ethic
  • History pushing teams to make decision and commit to deadlines and deliverables.
  • Experience estimating complex project budgets
  • Digital project management experience
  • Preferred experience managing a project size of $4M-$6M
