Summary:

  • Reporting to the Director of Facilities, in a multi-location educational setting, the Project Manager is responsible for execution of all assigned projects including capital improvements and building operations.
  • The Project Manager is responsible for technical compliance, budget development and adherence, and project schedules and serves as the construction and facilities project management.
  • The Project Manager works closely with all levels of management at both the campus and administration levels to ensure thorough and consistent communication and distribution of information.
  • The Project Manager researches and stays current with Project Management best practices and is actively involved in business case development for new projects.
  • The Project Manager, Building Services, supports both Facilities/Building Services and Capital Projects for American Career College, West Coast University and University Administration.
  • This is an onsite position with the opportunity of moving to Hybrid at a later date.

Responsibilities:

  • Manages service providers/vendors to ensure work is performed in compliance with contractual obligations and in a timely manner.
  • Works with educational and program leadership on data gathering and programming for educational program-related projects, buildouts, and campus modifications.
  • Monitors the need, scope, and estimates of contracted work throughout the campuses and facilities.
  • Reviews the quality, scope, schedule, final costs, and invoicing following completion of projects.
  • Provides project and construction oversight for facilities refresh and renovation projects.
  • Responsible for technical compliance, budget development & adherence, and project schedules.
  • Manages document management, change order management, project status reporting, and end of project close-out.
  • Issues and reviews RFPs; obtains bids and makes recommendations for action.
  • Plans, schedules, and coordinates campus moves/adds/changes with multiple vendors onsite.
  • Regularly reviews and ensures compliance with department policies and procedures.
  • Drafts, maintains, and reviews recurring reports and spreadsheets of activity related to service requests and facilities budgets.
  • Initiates requests for insurance certificates.
  • Manages the full invoicing process including reviewing invoices for accuracy, coding to the correct GL, processes through invoicing software, tracks invoices for payment and updates project management sheet.
  • Responsible for gathering all pertinent information related to projects including contracts, bid packages, and RFPs.
  • May assist with long-lead and/or complex building repair & maintenance projects at campus locations.
  • May monitor campus for compliance with fire/life/safety codes, ADA, OSHA, and other regulatory requirements.
  • Maintains department files in OneDrive and Smartsheet project management system.
  • May be called upon to respond to building emergencies related to projects on the property and works with maintenance mechanics and service providers to resolve when needed.
  • Reviews and interprets equipment manufacturer operating manuals, design documents and blueprints related to projects; conveys appropriate field information to the building maintenance mechanics.
  • Travels to various campuses for both American Career College and West Coast University when needed (with manager approval).
  • Manages the reallocation of usable resources and proper disposition of unneeded furniture, fixtures, and equipment during a project.

Education/Licenses:

  • Bachelor’s degree in Design, Architecture, Engineering, Project Management, Business, or related field highly preferred.
  • Must have a current driver's license.

Knowledge/Experience:
Required:

  • Specializes in one or more related disciplines with advanced knowledge.
  • Experience with Request for Proposal (RFP) process.
  • Experience with Excel and MS Project or similar management software.
  • Experience in administering projects.
  • 3-5 years of relevant experience required.

Preferred:

  • Managerial experience.
  • Experience with furniture and product specification.
  • Previous experience within an academic/educational institution.
  • Experience in the construction field.
  • Experience with space planning.
  • Experience with CAD, Bluebeam, or similar program.

Salary:

  • $66,126 - $95,893
