Description

Cary is seeking an organized, energetic, innovative, and proactive Program Specialist to join the passionate and creative team that presents over 400 unique cultural arts programs annually. The Program Specialist will oversee front of house and box office needs for the Cary Arts Center, The Cary Theater, Page-Walker Arts & History Center, and other facilities as assigned. This role is highly visible and interacts with filmmakers, performers, promoters, sponsors, vendors, clients, and resident arts organizations.

The Program Specialist coordinates all aspects of the box office, manages relationships with the artistic partners, and successfully cultivates season subscriptions, series packages, and single ticket sales. This includes the hiring and development of a strong box office and front of house team; implementation of ticket sales campaigns; tracking of daily sales and deposits; ticket account management and fulfillment; supervision of box office specialists, house managers, and volunteers; and providing excellent customer service to patrons.

The Program Specialist reports to the Operations and Program Supervisor – The Cary.

Due to the nature of the work, this position requires evening and weekend availability.

Typical Tasks

Front of House Management


  • Hires, trains, and develops box office and house management staff for multiple arts venues;
  • Develops and communicates box office policies to staff, patrons, and artistic partners;
  • Sets, monitors, and maintains the box office budget including box office payroll, supplies, ticket sales, and various other associated income/expenses;
  • Coordinates all Etix database usage including creating new users, setting permissions, and building events;
  • Builds and proofs events, packages, pricing, and special offers;
  • Reviews, implements, and trains box office staff on new ticketing system features and updates;
  • Runs customer lists for mailings, membership lists for programming team, and sales reports for programming team, renters, and artistic partners;
  • Reviews and maintains the box office phone tree system, on hold content, and system efficiency;
Box Office Management
  • Works with clients to set up events, maintain seating manifests, maintain financial records, and manage the preparation, presentation, and settlement of all event box office statements;
  • Attends production meetings to understand an event’s specific ticketing needs;
  • Advises and assists with the implementation, reporting, and generation of event reports using the Etix ticketing system;
  • Oversees the daily, weekly, monthly, and yearly sales of tickets, entering and submitting data as required;
  • Reconciles any issues between ticket sales and the finance department including shortages or overages in cash drawers or deposits;
  • Works closely with finance department on executing proper cash handling and cash control procedures;
  • Develops and maintains documentation and training material on Box Office policies and procedures;
Customer Service
  • Creates a friendly, efficient, and consistently successful front of house environment for patrons, staff, renters, and artistic partners;
  • Coordinates all discounts, promotional codes, and special offers for the Cary Arts Center, The Cary Theater, Page-Walker Arts & History Center, rentals, and artistic partner shows;
  • Fields patron questions, complaints, comments, and feedback. Coaches box office and house manager staff in the best way to handle patron issues as they arise;
  • Manages daily ticket sales and group sales via phone and in person;
  • Handles day-of show seating issues in coordination with patrons, ushers, volunteers, house managers, and event services staff;
Administrative
  • Tracks daily sales and money handling procedures with box office and administrative staff;
  • Processes memberships under proper functions and maintain customer accounts in association with programming team;
  • Creates and runs reports as needed for various departments;
  • Other duties as assigned.

Knowledge, Skills and Abilities

Knowledge of marketing and communications; knowledge of Salesforce and Etix or similar ticketing systems; knowledge of ADA requirements related to tickets and venues; excellent verbal and written communication and documentation skills; strong problem solving and strategic thinking skills; proficiency with Microsoft Office (Word, Excel, Outlook, PowerPoint) and other Windows applications; ability to work well independently; ability to manage, train, and motivate others; ability to successfully manage multiple priorities in a fast-paced, dynamic work environment; ability to interact tactfully and professionally with the public; ability to prioritize, identify critical issues, and work towards results; ability to collaborate with other departments, organizations, and vendors proactively and professionally; ability to work a flexible schedule, including evenings, weekends, and holidays.

Minimum and Preferred Qualifications

Any combination of education and experience equivalent to a bachelor’s degree in sales, business administration, or a related field.

Minimum of three years' management experience strongly preferred.

Minimum of three years' box office experience strongly preferred.

Conditions of Employment

Requires drug testing and background check (which may include criminal check, education verification and credit history review) and satisfactory reference checks prior to employment.

Requires possession of a valid driver's license with an acceptable driving record.
