HOURS: Tuesday- Sunday 10am-6pm shift

Vesta Property Services provides property management and related services to developers of planned unit communities and residential associations. SUMMARY

Contracting of all entertainment including theatrical performances, dance bands, DJ's, tournaments and special theme events by researching and scouting events for the purpose of obtaining quality entertainment/events through promotional materials, references, visiting performing arts centers or other venues.

RESPONSIBILITIES AND DUTIESinclude the following:

· Scheduling of all events by coordinating dates for use of the Theatre or other locations with the responsible person before engaging entertainment. Book events, i.e., wine tastings, non-profit organizations, clubs, organizations

· Negotiate and engage a signed contract for performances, dances, theme events and educational symposiums by obtaining all pertinent accounting information (tax numbers, deposits, addresses, contacts telephone number), and theatrical requirements.

· Promoting events by obtaining publicity material for monthly newsletters, series brochures and press releases, and to ensure the material is available in a timely manner.

· Responsible for promotional materials (signs, posters, tickets, etc.) for events. All posters are to be screened weekly and updated.

· Coordinating, in advance, all requirements noted in the contract by meeting with management, housekeeping, maintenance or any other person required to make the event productive, including hotel reservations, piano tuning and catering of food as required. Informing all departments of special events schedule, equipment needs, set up and staffing requirements. This information will be updated weekly.

· Attend shows/events through completion for the purpose of introductions and to receive feedback as to the likes or dislikes of the customer. This will help in judging future entertainment, theme events and dance bands.

· Must be capable of a flexible work schedule, as the position requires attendance at special events, some of which may take place during evenings or weekends.

SUPERVISORY RESPONSIBILITY:

The Program Coordinator has no supervisory responsibilities.

WORK ENVIRONMENT:

Spends majority of their time in an office setting. During meetings and events, the Event Coordinator will work on-site and collaborate with clients, hospitality workers, and meeting attendees.

PHYSICAL DEMANDS:

Irregular hours in the time leading up to a major event. During events, planners may work very long days, starting early in the morning and working late into the evening. Schedule can fluctuate based on date and time of event.

TRAVEL:

Some travel is expected for this position.

QUALIFICATIONS:

High School diploma or GED required.

2 years minimum previous experience in Event Coordination required.

Excellent public speaking and people skill required
