Job Summary

Typical Hiring Range: $40,000 - $45,000 annually (salary to be commensurate with qualifications)
This is an in-person position and is not eligible for remote work. This position has an anticipated work schedule of Monday – Friday, 8:00am – 4:30pm, subject to change. Under FLSA guidelines, this position is non-exempt.

This position is responsible for the professional and efficient managing of clients, visitors, telephone calls and messages that flow through the clinic. Also performs a variety of functions, including but not limited to, data entry, record maintenance, scheduling of clients and the accurate processing of client administrative information and fees, receiving department mail and providing administrative support to the program.

Essential Duties/Responsibilities

  • Updates and ensures the integrity of program databases. Responsible for accurate, timely data entry in accordance with program requirements.
  • Greets and screens clients for requested services.
  • Assesses client needs, including reviewing client records to identify which vaccines are needed during clinic visit.
  • Completes initial written and electronic records on new patients as necessary. Makes return appointments as necessary. Collects clinic fees and performs daily closeout of cash register per the Department Cash Receipts Procedures.
  • Assists clinician in examining room, as directed, including assisting with keeping children calm during vaccinations, assisting clinician with clients who have fainted or other issues as directed.
  • Schedules client appointments.
  • Monitors supplies and equipment and communicates supply needs. Assists with ensuring examination room is properly stocked.
  • Assists with inventory and maintaining an adequate supply of medical record forms and assembles these into individual records; inventories office supplies and communicates needs.
  • Develops and maintains a record filing system. Responsible for providing appropriate records for appointments, audits or as needed by the program. Ensures records are complete, up-to-date and conform to all governing regulations.
  • Participates in departmental emergency planning and response activities.
  • Promotes public health within the community.
  • Takes personal responsibility to provide exceptional customer service in order to promote and maintain a positive Public Health image, constructive working environment, and foster pride and professionalism in the workplace and community.
  • Performs other duties as required.

Knowledge, Skills, and Abilities:

  • Ability to communicate, motivate, and organize projects among a broad spectrum of personnel, frequently under deadline pressure.

  • Ability to communicate effectively both verbally and in writing. Ability to write and maintain accurate records and reports to meet management objectives.

  • Ability to perform under stress and when confronted with persons acting under stress.
  • Skill in using a computer and various software packages, including Microsoft Office.
  • Maintain regular and punctual attendance.

Required Education and Experience:

  • High school diploma or equivalent education.
  • Minimum two years of administrative experience.
  • Any equivalent combination of related education and work experience that satisfy the requirements of the job will be considered.

Preferred Education and Experience:

  • Bilingual in Spanish.

Licenses/Certificates:

  • Valid CPR Certification.

Pre-Employment Requirements:

  • Must pass conditional post offer background investigation, drug screen, and physical examination.

Work Conditions

Duties are primarily performed in an office and clinic environment with potential exposure to noise, infections, blood and contagious diseases. May be required to occasionally safely lift and carry up to 25 pounds and bend at waist or knees to get down to child's level. Public Health employees are responsible for providing proof of vaccinations and/or tuberculosis testing as applicable to the specific position and must provide proof of completion of required vaccinations/testing or proof of initiation within sixty (60) days of hire date.
