Essential Functions:

  • Develops and maintains all procedures and forms associated with the front desk.
  • Welcome the public; answer questions in-person and/ or by telephone; schedule appointments; assist clients and families with registration, and respond to and direct questions to appropriate staff as needed.
  • Provide developmentally appropriate group and individual activities to children attending Center appointments/activities with their families when needed/ requested and available.
  • Clean, disinfect, and stock treatment, assessment and waiting rooms and process facility work order to ensure facility is maintained in a clean and safe manner.
  • Plan and coordinate training and travel for staff, maintain an inventory of office supplies, treatment incentives, and screening tool measures. Working closely with the supervisor coordinate purchase orders of those items.
  • Provide clerical and administrative support for the day to day operations of the office and front desk including but not limited to: answering phones, taking messages, distributing mail, handling correspondence, taking minutes at staff meetings, promoting organized office environment, etc.
  • Follow safety guidelines and regulations, when transporting families to and from the Center and other locations related to care plan implementation which may require obtaining and maintaining a class B or Commercial class C driver’s license.
  • Maintain, manage and assist in processing records and reports to include filing and maintaining charts in a confidential manner that meets HIPAA and other applicable confidentiality regulations at all times.
  • Accurately complete all assigned data collection, entry, and program documentation, following established protocols. Able to use electronic health record system or other data system as required.
  • Provide assistance to other members of the team, as needed, in order to ensure the smooth operation of the program/ Center.
  • Promote positive work environment through collaboration, consultation, problem-solving and participation in various team building activities.
  • Able to cultivate and provide culturally responsive care to children and their families accessing services at the Center.
  • Adhere to EPU standards, policies and procedures.
  • Has willingness to seek out supervision, receive feedback to ensure quality and continuous improvement in workflow.
  • Position requires flexibility of hours outside of standard operating hours of Monday through Friday, 8 – 5 pm, based on program funding and position needs. Some evening and weekend work will be required.
  • Perform other duties as assigned by Support Services Supervisor, Director of Clinical Services and/or Chief Executive Officer.
Requirements:

Knowledge, Skill and Experience:

Education: Must have a minimum of an Associate Degree (AS) or higher in Child Development, Psychology, Social Work or related field.

Skills: Must have strong communication skills, written and verbal; able to make good, logical independent decisions within guidelines, accept responsibility; be detailed oriented, dependable, reliable, committed, highly motivated, and adaptable; have self-confidence, strong time management skills and a professional code of ethics and professional demeanor; and take pride in producing a high quality product.

Experience:

  • 2+ years’ experience providing assistance and services to young children and their families who have social/emotional, developmental and behavioral needs.
  • Skilled in providing age appropriate activities for children in groups and individually.
  • Skilled in handling client records and information confidentially and in accordance with HIPAA and other applicable regulations.
  • Skilled in working with diverse populations.
  • Skilled in Microsoft Office programs such as Word, Excel and Outlook.
  • Knowledgeable of community resources available to families/young children.
  • Skilled and able to work as part of a team in implementing new and existing systems and procedures to promote both quality and efficiency.
  • Excellent customer support service skills.
  • Hold valid California Driver's license and good driving record with no serious violations for the previous two-year period and be able to provide proof of current automobile liability insurance.

Physical Demands:

Typical Working Condition: Position works from the EPU facility. The position requires the ability to sit and work on a computer for extensive periods of time. Position requires fingering (fine dexterity), repetitive hand and wrist motions.

Equipment Used: Operation of a motor vehicle to provide transportation to families as needed, computers, printers, telephones, and fax machines.

Essential Physical Tasks: Working with children and their families require the ability to sit on floors, reach, twist, turn, kneel, stand, stoop, crawl, lift, carry, push and pull.
