Job Summary:

Reporting to the Director of Sales, the Pebble Beach Preferred Manager is responsible for achieving stated occupancy and revenue goals by handling booking needs of small groups designated as “Pebble Beach Preferred” customers.

Essential Duties & Responsibilities:

  • Proactively take care of all client needs for groups up to 20 rooms per night.
  • Respond to and follow up on all inquiries from specified territory with 24 hours.
  • Book rooms, golf, catering functions, transportation, dining, and recreational activities for “Pebble Beach Preferred” groups. (Approximately 9-20 rooms per night)
  • Follow up with client to ensure that contract, collateral, rooming list, and all completed forms are received in a timely manner.
  • Conduct site inspections for potential clients.
  • Update and maintain client files including contracts, booking patterns, receipt of rooming list form, Sertifi reservation forms, itinerary and other pertinent information on rooms, golf, meals, and functions.
  • Collect and record receipt of deposits.
  • Prepare detailed documents describing client needs, such as banquet event orders and resumes, billing and describe customers’ needs and expectations to department managers.
  • Confirm all information on resume with appropriate departments, such as banquet event orders, amenity forms, and memos to pro shops.
  • Cross-sell from one property to the other.
  • Solicit, develop, and maintain relationships with clients through written and verbal correspondence.
  • Draft working room list and master list of all attendees for each group.
  • Enter appropriate group booking data in hotel reservation (SMS) and Sales/Conference Services (Delphi) systems.
  • Coordinate confirmations and deposits for individually booked group attendees.
  • Determine actual number of rooms occupied by group and compare to number blocked.
  • Entertain clients with meals to enhance solicitation process.
  • Communicate pertinent information to other division employees, especially administrative staff, through verbal and written correspondence.
  • Stay up to date on all company changes / processes that would affect your customers.
  • Comply with all Pebble Beach Company safety and health policies and procedures.
  • Fill in for other Pebble Beach Preferred Manager as needed.
  • Provide office coverage on Saturdays as necessary
  • Other duties as assigned by Director of Sales

Required Skills:

  • High school diploma or equivalent required, some college preferred
  • Minimum of one or two years hotel/resort experience, preferably in reservations/sales
  • Extremely service oriented, accurate and work with attention to detail
  • Work cohesively with co-workers as part of a team, with minimal supervision
  • Maintain confidentiality of guest information and pertinent hotel data
  • Ability to perform data entry
  • Good organizational and time management skills
  • Excellent oral/written communication skills
  • Proficient in DELPHI and SMS
  • Proficient with Microsoft Office (Outlooks, Excel, Word, PowerPoint), internet and email
  • Valid California driver’s license
