Job Summary:

Oversee operations of the payroll department and all related functions.

Essential Duties & Responsibilities:

  • Supervise a staff of 2 by delegating assignments and checking the quality of completed work.
  • Process and maintain payroll function in an accurate and timely manner.
  • Understand and implement all regulatory guidelines applicable to payroll system.
  • Interact and communicate with managers and employees regarding payroll concerns.
  • Counsel, discipline and evaluate staff.
  • Train staff to implement established procedures and changes as they occur.
  • Update payroll calculations, including changes in taxes, wages, sick and vacation leave accruals.
  • Maintain payroll system through semimonthly, quarterly and year end audits, including periodic review of employee master files.
  • Prepare various reports required for payroll period end processing to Accounting. Create GL interface.
  • Prepare reports required/requested by management.
  • Prepare and set-up year end requirements. Transmit and create W-2’s.
  • Maintain documents and reports, especially of workers’ compensation and pension data forexternal audits.
  • Set-up and maintain employee profile and restrictions in automated timekeeping system.
  • Interface with outside payroll service, resolving problems and overseeing payroll performance.
  • Post time edits, hours and schedules in automated timekeeping system.
  • Prepare manual checks, as needed.
  • Comply with all Pebble Beach Company safety and health policies and procedures.
  • Other duties as assigned by Director. Fill-in for payroll staff as needed.
  • Calculate and pay all semi-monthly, quarterly and annual Payroll taxes to appropriate agencies.
  • Prepare and transmit all quarterly and annual tax returns.
  • Create reports/file for 401K plan and upload.
  • Upload Child Support files to CA CS agency.

Required Skills:

  • 3 to 5 years payroll managerial experience in a high volume environment.
  • 3 to 5 years working with Accounting and reconciliations
  • Experience with computerized payroll system (e.g. ADP) and automated timekeeping system (e.g., UKG). UKG experience a plus.
  • Advance knowledge Microsoft suite of software, including Excel (formulas, lookup table, if statements), Word & Outlook.
  • Must be able to work in an accurate, organized efficient manner in fast pace, high volume environment.

Desired Skills:

  • Experience filing quarterly and annual tax returns – 941, 940, and California.
  • CPP or willingness/desire to obtain FPC or CPP over the next 3 years.

  • Computer, 10-Key, Folder/Sealer, Printer, Copy Machine, Fax Machine, and Postage machine
