Prince William County Community Services is looking for a committed administrative professional to join the ACCESS team. The ACCESS team service is the point of service entry for the Community Services and has adopted the Same Day Access Model (SDA). We are seeking an Administrative Specialist that will provide support and supervision to the Registration section of the Same the ACCESS (SDA) program.

ABOUT THIS ROLE:
The ACCESS Administrative Specialist supervises the administrative staff, completes registration and reimbursements with clients, plans coverage and assignment of duties; and provides timely review and evaluations of documentation.

The successful candidate will be responsible for the following:

  • Provides supervision to the registration section of the Same Day ACCESS program.
  • Provides supervision and training to subordinate staff.
  • Plans coverage and assignment of duties.
  • Completes yearly employee performance evaluation.
  • Performs data collection, distribute correspondence and meeting notes, and complete weekly/monthly reports.
  • Conducts patient interviews, pre-registration/registration, collects and confirms demographic information, and accurately entering required information in the electronic health system.
  • Answers the ACCESS phones and speak with all new clients, hospitals, and other community providers.
  • Triages and determines eligibility for service.
  • Schedule patient appointments in person or by phone, and accurately document referral information and ensures that information is forwarded to clinical staff.
  • Assists the ADM II in maintaining the Patient Trak and monitor patient flow and communicates any issues to management, including wait times, in the registration and clinical areas throughout the day.
  • Follows confidentiality and privacy protocols in accordance with CS policies and HIPAA Requirements; obtains proper releases for medical information.
  • Links clients to the reimbursement department.
  • Accommodating interpretive language services when needed
  • Serve as an essential link between clients and all other providers within CS and community.
  • Attends weekly supervision with assigned supervisor.
PREFERENCES:
The successful candidate will have:
High School diploma or GED
3-4 years administrative support experience in a healthcare setting
1-2 years supervisory experience
Experience working with Electronic healthcare records
Proficiency with MS Office programs
Experience with data collections and monthly/weekly reports
Bi-lingual, English/Spanish is preferred but not required
Experience working in a team environment and/or with shared clients
Good time management skills
Experience with Medicaid documentation

SCHEDULE REQUIREMENTS: Monday - Friday, 8:00 AM-4:00PM

SPECIAL REQUIREMENTS:
Must possess a valid driver's license, Must pass DMV record check
Must pass TB test.

Child Protective Services Requirements: Effective 1999, mandated by the Department of Behavioral Health and Developmental Services 12VA35-105-400 rules and Regulations for Licensing Providers by the Department of Behavioral Health and Development Services related to Criminal Registry Checks, a search of the registry of founded complaints of child abuse and neglected maintained by the Department of Social Services.

ENTRY SALARY RANGE: $23.67 - $29.59 Hourly
