Job Description Summary:
Under the direction of the clinic operations manager the Patient Admissions Coordinator provides proficient time of service registrations and admissions functions. Engages in efficient processing of assigned tasks and projects while providing an exceptional level of customer service for all hospital and clinic customers. Provides multiple patient financial services in the form of: timely and accurate patient registrations, existing patient data updates, payment collections, communication of insurance benefits, patient account management, and daily engagement in quality assurance and process accuracy.

Essential Functions:
1. Registration
  • Registers patients in a timely and effective manner, while maintaining a high level of attention to detail with the data entry. Must prioritize patients based on their medical needs and the state of clinic capacity. Ensures appropriate paperwork and documentation is collected, completed, and scanned, i.e. ID, insurance, consent, demo form, ROI, TOS receipts, discharge paperwork, superbill. and ER documentation.
  • Protects and ensures the confidentiality of patient information. Adheres to and actively practices in SJH's Corporate Compliance Program, and participates in Performance Improvement activities. Represents, facilitates, and elevates team success within Teton Village Clinic, Patient Financial Services, and SJH as a whole.
  • Presents a confident and friendly demeanor when greeting and communicating with customers, as well as with colleagues and other stakeholders. Provides superior customer service, while meeting the needs of customers, to enhance communication and access to available services at the TVC and SJH.
2. Financial Services
  • Collects patient balances, patient insurance obligations, and provides basic explanations of benefits and some financial counseling to patients. Uses own judgment on providing discounts to patients per SJH policy. Educates patients on insurance coverage due to the clinic qualifying as a Physician's Office, not an ER or Urgent Care.
  • Manages patient accounts by adding appropriate charges and payments. This also includes the processing and management of patient records related to services rendered at the Teton Village Clinic. Reviews the nurse's notes to confirm the Superbill is complete, and entering those charges to the patient's account.
3. Leadership
  • Works independently, with little access to managers, to ensure smooth daily operations, and making decisions, often in a high stress, fast paced environment. Communicates effectively with a variety of stakeholders including, JHMR Ski Patrol, JHMR Dispatch, JHMR Risk Manager, JHMR Security, EMS Dispatch, Medic 60, Sheriff, Coroner, patients, etc.
4. Problem Solving & Improvement Activities
  • Autonomously applies sound judgment to solve operational problems, appropriately following up with team members and leadership to address. Participates in the launch, development, implementation, and control of improvement projects.
  • Adheres to and actively practices in SJH's Corporate Compliance Program, and participates in Performance Improvement activities.
5. General Office Operations
  • Must assist in TVC and Ski Patrol functions as needed. housekeeping duties required, including making coffee, vacuuming, taking out the trash, cleaning rooms and public areas. Coordinate with the JHMR facilities manager for recycling pick up as well as occasional patient transportation.
Job Requirements: Minimum Education:
Required- High School Degree or GED equivalent.

Preferred- Associates or Bachelors Degree, medical terminology certification or proven knowledge of medical terminology, other relevant professional certifications: i.e. WFR, First Responder, CPR, First Aid, etc.

Minimum Work Experience:
Required- Must be able to read, write, and speak English fluently. Prior front desk, business office, or concierge experience in a hospital, medical office, dental office, bank or hotel.

Preferred- Prior healthcare experience. SJH experience.

Functional Demands:
Working Conditions: Normal office hours (8:30am - 5:30pm), Monday through Friday, Weekends, and Holidays. Subject to irregular hours, meals and breaks. On-site position. Busy, fast-paced healthcare office setting. Frequent interruptions and stressful situations. Contact with patients, co-workers, and community members under a variety of circumstances.

Physical Requirements: Ability to push, pull, bend, reach. 60 to 70% of the day sitting/standing at desk. High phone usage. 30 to 40% of day at computer. Intermittent standing, walking and help with pulling in Ski Patrol sleds carrying patients. Ability to lift 30 pounds.
