Job Summary

The Parts Clerk provides professional, reliable, efficient, knowledgeable, and friendly customer service through the sales of spare and replacement parts and equipment within the Parts and Service Departments.

Essential Functions

  • Opens the Parts Department for business each day
  • Primary customer service clerk for the Parts Department responsible for
  • Answering phones and responding to customers and Service Department staff
  • Receiving and filling telephone orders and in-person customer and Service Department orders from stock
  • Advising customers and the Service Department on the substitution or modification of parts when identical replacements are not available
  • Discussing the use and features of various parts based on knowledge of machines and equipment
  • Examining returned parts for defects or modifications to control exchanges and refunds
  • Receiving payment and/or obtaining credit authorization for orders. Prepares sales slips, invoices, and quotes
  • Submitting claims and approving credits for parts returns
  • Placing all daily orders with vendors and confirming tickets for end-of-day
  • Supports the Sales and Service Departments by ordering requested parts and accessories to complete sales orders and service work orders
  • Proficiently operates parts software systems to efficiently research, locate, and order parts for customers and the Service Department. Proactively calls factories for order status
  • Processes all Volvo reman cores for core credit return, including cleaned, boxed, tagged, and all completing all paperwork
  • Enters all manufacturers’ orders
  • Places new inventory on display
  • Establishes trusting professional relationships with vendors to cooperatively enhance customer satisfaction
  • Prepares annual/quarterly/monthly vendor returns by removing stock from shelves and prepares for shipment
  • Prepares dead stock report. Using Parts printout, locates each part and removes part number from that location and adjusts shelves and drawers for new inventory
  • Maintains return parts area. Organizes parts with proper document. Identifies and puts into stock by vendor and location. Returns parts to the appropriate vendor that do not belong in inventory. Credits to the inventory any parts without documents
  • Re-inventories all returned parts. Processes claims and approves credit for returned parts. Photographs all damaged parts. Requests service work order and order parts if part can be repaired. Prepare claim for missing or damaged parts and fax to vendor, follows up with vendor until payment is received
  • Back up shipping and receiving core responsibilities include
  • Placing incoming stock inventory onto the shelves promptly and maintaining the shipping and receiving office and storage areas in safe professional working condition
  • Breaking down any shipping pallets that arrive with orders for disposal/shipment
  • Scheduling and processing all outbound shipments with lowest price and best pick-up and delivery times as the highest priority. Gathers, packages, and labels all shipments. Logging and completing all required paperwork
  • Loading and unloading shipping truck. Placing all unloaded parts into the parts bay immediately for review and documentation of any damages or missing stock
  • Safely and efficiently operate forklift; inspect and record forklift daily; maintain forklift operation certification
  • Provide support to the Service and Sales departments as needed

COMPETENCIES

  • Proficient with Microsoft systems and applications, including Word, Excel, and Outlook
  • General computer and Internet proficiency
  • Professional phone, email, writing, and interpersonal communication skills.
  • Works well in a fast-paced, demanding team environment, with all levels of the company, and with all types of customers
  • Able to work independently with a strict attention to detail, exerts sound judgment, discretion, and preserves confidentiality
  • Class C driver’s license with a clean driving record
  • Safely and efficiently operate forklift; inspect and record forklift daily; maintain forklift operation certification
  • Must be able to read and understand parts manuals

Required Education and Experience

The following requirements are job-related and consistent with business necessity.

  • High school diploma or GED
  • Valid Class C driver’s license with no points or restrictions
  • One-to-two years’ parts department experience

Preferred Education and Experience

The following requirements are job-related and consistent with business necessity.

  • Associate’s Degree in a relevant field of study
  • One-to-two years’ heavy-construction equipment dealership experience working in a parts or service capacity
  • One-to-two years’ forklift operation without accidents
  • One-to-two years’ shipping experience including arranging freight pickups
  • One-to-two years’ receiving/inventory control experience

Additional Eligibility Requirements

Upon offer of employment, selected candidates must pass a pre-employment drug test and physical examination at Highway’s expense to determine if the candidate is physically fit to perform the duties without injuring themselves or others.

Position Type/Expected Hours of Work

This is an hourly overtime-eligible position. The Parts Clerk is expected to work 8 a.m. to 4:30 p.m. with a 30-minute lunch per the department’s needs and manager’s discretion and with the flexibility to cover from 7 a.m. to 5 p.m. as needed. Some overtime is possible with management approval.

Reports To

This position reports to the Parts Manager.
