Administrative Support Assistant II
Charter College of Education


Salary Range: $3,338 - $4,913/Monthly


Work Schedule: Full-Time, Monday – Friday, 8:00 a.m. to 5:00 p.m.; Temporary one-year appointment from date of hire. May be extended, may become permanent; non-exempt classification.


Essential Functions: Under the direct supervision of the Assistant to the Director, the incumbent will be responsible for the following, performing basic customer service receptionist duties; answering and screening telephone calls, emails and assists walk-ins; processing of the Charter College of Education (CCOE) applicants for admission into the following teaching credential programs: Multiple and Single Subject credential programs and the Education Specialist credential programs (Mild/Moderate, Moderate/Severe, Visual Impairment, Physical and Health Disabilities, Early Childhood); complete data entry into the student information systems and databases; creating and maintaining electronic student files; providing credential status reports to the Center for Student Financial Aid for Pell Grants and Teach Grants; coordination of the "Friends of the CCOE" Student Emergency Fund; and participating in the evaluation team, attending and preparation of college-wide events, and performing other duties as required/assigned.


Required Qualifications & Experience: Equivalent to two years of general office experience, which included providing work direction or acting as a lead. The incumbent must demonstrate competence in understanding; interpreting, and communicating procedures, policies, information, and instructions to students and faculty. The incumbent must also have possession of excellent verbal/written communication skills, customer service skills (i.e., people-oriented, patience, flexible, and positive attitude), and computer skills (i.e., created and maintain databases, access student records, etc.). The incumbent must have the ability to learn, interpret independently, and apply University and CCOE policies and procedures and deviations from established policies. The incumbent must have a demonstrated interest and/or ability to work in a multicultural/multiethnic environment. A background check (including a criminal records check) must be completed satisfactorily before any candidate can be offered a position with the California State University. Failure to satisfactorily complete the background check may affect the application status of applicants or continued employment of current California State University employees who may apply for the position.

Desired Qualifications: Specific knowledge of the various University and CCOE admission criteria and procedures. Fluency with GET system and Microsoft ACESS, and EXCEL database systems. Previous use of a CRM data management system (ex.: Hobsons Radius).
