Job description

Under direct and indirect supervision of Front Desk Supervisor and C.E.O., confirm patient appointments, pre-screen patients and manage the timely flow of patients checking in and out of the facility. Professionally and politely greet all patients and visitors. Assist with all other office and clerical duties as needed.

Major Job Functions:

  • Pre-Screens and confirms all modalities – MRI, CT, Nuclear Medicine, CT, Ultrasound and X-ray exams according to guidelines and Procedures for incoming callers.
  • Reviews, confirms and screens for safety all scheduled appoints to ensure accuracy as to time and scanner for incoming callers.
  • Accurately inputs and verifies all provided and/or required patient registration information including demographics, order information, guarantor information, previous imaging and surgery information for incoming callers.
  • Resolves screening problems in a timely, efficient and professional manner by communicating with other departments and providing requested and required information for incoming callers.
  • Verify Insurance information & make patient aware of cost (esp. flat rates) for incoming callers.
  • Reschedule if able or transfer to appropriate department for incoming callers.
  • Perform all Front Desk Receptionist job functions as requested by the Supervisor.
  • Resolves scheduling/pre-screening problems in a timely, efficient and professional manner for incoming callers.
  • Keeps adequate supplies for work area & helps Co-Lead monitor supplies as requested.
  • Manages incoming phone calls and transfer appropriately.
  • Ensure that all pertinent patient records, including diagnostic reports and images are available and recorded in patient file.
  • Communicate effectively with other departments to ensure patient convenience and safety when scheduling.
  • Professionally communicate with referring physician offices.
  • Explain process of exam and reassure patient by answering questions regarding exam and procedure.
  • Research for and follow up on medical records needed for patient requests, case workers, and medical office requests while abiding HIPPA compliance laws.
  • Assist in following-up with CDs/films and purging records.
  • Assists other departments with miscellaneous tasks to ensure productivity.
  • Manage courier pick-ups/drop-offs and notify the desk when necessary.
  • Manage Fed-Ex shipments as requested by co-workers and/or referring offices.
  • Collect payments for images and submit reconciliation to the desk.

Qualifications:

  • High School Diploma
  • Previous healthcare experience and courses in medical terminology preferred
  • Ability to operate copier, FAX machine, postage machine and computer
  • Must have excellent organizational, communication and interpersonal skills.
  • Ability to set priorities and manage varying workload
  • Must be able to remain calm in stressful situations. Must display courtesy and empathy toward co-workers and physicians. Must be able to make sound judgments and execute the appropriate actions based on the needs of the knowledge of departmental policies and procedures.
  • Must be discrete with confidential information and abide by corporate HIPAA policies.
  • Must be able to move about freely. Sits, stands, walks intermittently during the day.
  • Must possess sufficient visual and auditory acuity, and manual dexterity to perform task .
  • Must attend mandatory practice training and departmental requirements annually.
  • Works in a clean, well lit medical facility. Subject to electrical, chemical, magnetic and radiant energy hazards. Exposure to infectious disease and lifting hazards. Must stoop and bend in course of job performance

Schedule: Full Time, Days, 8am-430pm w/ rotating weekend shift
