The Weld County Department of Public Health and Environment is recruiting for an Office Technician III to perform a variety of confidential program support duties for the Nurse-Family Partnership program. The Nurse-Family Partnership program is an evidence-based home visiting nursing intervention, in which registered nurses visit the homes of first-time pregnant and parenting families. The Office Technician’s primary assignment will be the Greeley office at 1555 N 17th Ave, which is the Nurse-Family Partnership program’s office location.

The ideal candidate for the Office Technician III will:

  • Be a motivated self-starter, working in a highly team-focused environment.

  • Have a high level of proficiency using standard office equipment and the Microsoft Office Suite, with exceptional data entry skills.

  • Have experience learning and using multiple proprietary databases and programs simultaneously.
  • Bring ideas for completing tasks efficiently and effectively to program staff.
  • Have experience providing exceptional customer service to a variety of clients.
  • Be adaptable, flexible, and willing to accommodate a change in work direction at a moment’s notice.
  • Maintain confidentiality of individuals and families referred to and within the program.
  • Be bilingual in English and Spanish (preferred but not required).

$21.38 - $27.05 per hour plus benefits (see benefits tab on the job posting). The position will normally start at $21.38 per hour.

Essential Duties and Responsibilities

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Perform complex duties; type documents, correspondence, reports, case file cards utilizing technical terminology and composition skills requiring accuracy and completeness; coordinates plans and project activities.

Transcribe and compose a variety of confidential documents and correspondence.

Schedule appointments, meetings, and conferences; gather related documentation for distribution at meetings; take and transcribe minutes and notes at hearings, meetings and conferences as required, at times requiring use of technical terminology.

May act as liaison for department with other County offices, agencies, and the public. Establish and maintain filing systems, pulling files, updating, and replacing them as needed.

Keep informed of new laws and ordinances; answer inquiries from departments and the public regarding resolutions, community projects, and special projects, and special programs requiring considerable exercise of independent judgment.

Assist lower level personnel in performing and coordinating their work as required; train new staff members; and review completed work and recommend changes to ensure accuracy and completeness.

Operate a variety of office equipment including computer terminal and/or personal computer; able to operate variety of software programs such as Microsoft Windows, Word, Excel, PowerPoint, Outlook, and other process-specific programs. Type and transcribe dictation using transcribing equipment; transcribe medical reports, legal orders, opinions, and letters; attend meetings and record minutes or notes.

Perform moderately complex accounting work; receive and verify information from various sources and enter data into ledgers and other records. Prepare statistical reports and produces financial information as directed.

Professionally interact with peers and the public in person-to-person setting, via telephone, and all electronic methods.

Communicate current and anticipated problems to superior.

Perform related work as required and other duties as assigned.

Qualifications

MINIMUM REQUIREMENTS

Education:

High school diploma or equivalent with course work in general office and accounting procedures, business practices, and technical terminology as it relates to the position.

Required work experience:

Three years increasingly responsible position in an office setting, or any equivalent combination of education and experience.

Certificates, Licenses, Registrations:

Have and maintain a valid Colorado driver’s license and use of personal, insured vehicle is required to perform duties. Dependable transportation and auto insurance, maintained at all times, as required by State law, is required.

Candidate must pass a criminal background check.

Required Skills, Knowledge and Abilities:

  • Thorough knowledge of spelling, punctuation and grammar, office practices and procedures; working knowledge of bookkeeping practices and legal terminology as required by the position; skill in operation of office equipment, including personal computer (together with applicable software), printer/scanner, calculator, etc.
  • Ability to type a minimum of 35 wpm.
  • Skill in taking and transcribing dictation and utilization of office equipment as required.
  • Ability to exercise initiative and considerable amount of independent judgment; to interpret current policies and procedures.
  • Ability to guide others in their work and to coordinate department activities; to communicate effectively verbally and in writing; to establish and maintain effective working relationships with employees, professionals, agencies, and the public.
