Job Description
Essential Job functions:
Manages the fiscal resources of the department in a manner that is financially responsible and consistent with the overall goals of the organization by:

  • Preparing timely budgets consistent with the financial plan.
  • Efficiently managing resources: labor, services, supplies, materials, communication/data, and space.
  • Identifying opportunities to improve performance e.g. LOS, utilization of resources (overtime, supplies), variances.
  • Analyzing work processing and removing inefficiencies. Reduces re-work and wasted materials/resources.
  • Involving staff in cost containment.

Demonstrates visibility and builds trust among team members; seeks opportunities to reward and recognize staff; fosters strong team cohesiveness within own area of responsibility by:

  • Creating an environment that yields efficient and effective work processes.
  • Clearly defining roles and relationships within the team; cultivating strong working relationships among its members.
  • Providing direct feedback to others; responds to staff issues quickly and directly.
  • Empowering staff to share in decisions that affect their practice; recognizes the value of their contributions.
  • Keeping projects on track; working with team to eliminate or minimize barriers. Addresses obstacles as they arise; coaches to minimize impact.

Manages and develops human resources consistent with organizational values, guidelines, regulatory agencies, established contracts and legal requirements by:

  • Ensuring that staff qualifications are consistent with job responsibilities; job descriptions reflect accurately performance expectations and requirements
  • Following Human Resources Guidelines for hiring, managing performance, and participation in workplace activities and services
  • Exercising discretion and astuteness during the interview and hiring process
  • Evaluating performance and competency to perform job duties within prescribed timeframes
  • Participating in the development and orientation of direct reports, managers and staff
  • Providing regular and constructive feedback. Offers negative feedback privately; respects confidentiality at all levels.

Promotes the use of information technology.

  • Demonstrating an understanding of relevant applications used in area of responsibility
  • Examining work processes to identify what can be more effective through technology
  • Using technology to increase productivity
  • Ensuring personal and staff proficiency in use of technology; keeping skills up to date

Evaluates departmental needs to assure established quality patient services and makes recommendations to the Director. Participates in Quality Assessment & Improvement activities by gathering data and reporting events as reflected in the annual evaluation.
Plans, conducts, and distributes minutes of monthly staff meetings with Office Supervisors. Effectively communicates organizational and departmental initiatives and directives
Develops, revises and reviews departmental policies, guidelines and standards. Communicates policies, procedures and guidelines to staff and serves as a liaison between staff and the medical team. Monitors and ensures compliance with all of the above.
Measures staff competencies in a timely manner with appropriate documentation. Works collaboratively with and utilizes resources within Nursing Education.
Maintains effective & appropriate staffing by monitoring employee turnover, overtime & absenteeism.
Plans for and works collaboratively with the Department Chair and Pod liaison on new services and programs. E.g. Access, Productivity, TAT of Dictation, Customer Service Results. Utilizes and manages dashboards and makes changes to operations in support of service, quality, access and financial goals. Works collaboratively with Department Chair and Pod liaison to review monthly P&Ls and variances.
Acts as liaison and fosters communication between office staff, other departments, managers, senior administration, and physician, to ensure timely and effective flow of information and resolution of concerns and complaints.
Oversee the planning of Department and Pod liaison meetings; work collaboratively with the department chair on meeting agenda.
Work collaboratively with Physician Acquisition ad Business Development administrator to coordinate and oversee on boarding of physicians and physician practices, including all business office, IT and practice management aspects. Oversee staff on boarding process including HR aspects, training and development.
Provide ongoing support and mentorship for Office Supervisors and Clinical Coordinators.

Education, Certification, Computer and Training Requirements:

  • Associates degree required. Bachelor’s degree preferred.
  • 5-8 years experience required. 8+ preferred.
  • Current State RN or LPN license required.
  • Ability to communicate in English, both orally and in writing required.
  • Strong interpersonal and communication skills required.
  • Ability to lead and manage a department (team) required.
  • Ability to use problem solving, critical thinking and priority setting skills required.
  • Ability to perform diversified duties with time limitations with a high degree of accuracy required.
  • Standard Office Equipment (Phone, Fax, Copy Machine, Scanner, Email/Voice Mail).
  • Standard Office Technology in a Window based environment
  • Experience using Electronic Health Record preferred.
