GENERAL DESCRIPTION

The TJJD Office of Inspector General (OIG) is responsible for investigating crimes committed by TJJD employees, crimes and delinquent conduct committed at a TJJD state-operated facility or contracted facility, and crimes involving TJJD interests; locating and apprehending TJJD youth who have escaped, absconded, or violated a condition of their release from TJJD; operating a 24-hour Incident Reporting Center to receive and document allegations of criminal activity involving TJJD interests and reports of abuse, neglect and/or exploitation of TJJD youth; preparing and submitting reports regarding criminal investigations and OIG operations to the TJJD board, members of the legislature, and other state agencies; and monitoring compliance with the TJJD Use of Force Plan.

This position performs routine (journey-level) staff services work. Work involves planning and coordinating several staff services functions within the OIG. This includes maintenance of complicated and confidential records tracking and filing systems; preparation, review, and editing of reports and correspondence, including reports containing statistical graphs; general phone coverage; administrative and technical assistance duties; and backup technical support to all sections of the OIG. Work requires frequent contact with other TJJD executive staff and executive staff from other agencies, state public officials, general members of the public, and family members of and advocates for youth assigned to the agency.

Works under moderate supervision with limited latitude for the use of initiative and independent judgment. May be required to work in excess of 40 hours per work week and may be required to travel occasionally.

ESSENTIAL FUNCTIONS

Plans and coordinates several staff services functions such as purchasing, training, and property management.

Provides technical guidance, advice, and assistance on administrative matters; coordinates administrative assignments; communicates and evaluates administrative practices, procedures and standards.

Maintains various filing, informational, and tracking systems for the OIG such as the OIG assignment tracking system and the vehicle fleet data tracking system used to document monthly fuel expenditures, maintenance expenses, mileage averages, and toll expenses.

Composes, edits, and distributes correspondence, memoranda, reports, and forms; prepares technical aspects of manuals, publications, training materials, and presentations; reviews and gathers statistical information to create graphs and reports.

Places, answers, and routes incoming calls with poise and confidence while maintaining a professional, courteous demeanor in a variety of situations; takes messages, answers general questions.

Reviews and processes incoming mail to ensure vital correspondence is delivered in a timely manner to the appropriate staff.

Coordinates meetings, and other events and activities, including the coordination of logistical arrangements; schedules and coordinates calendar appointments for OIG staff; ensures scheduling conflicts are avoided; prepares and reviews notices or agendas for meetings.

Coordinates travel arrangements and reservations, completes travel reimbursement vouchers; maintains a travel voucher tracking system for budgeting travel expenses; and maintains travel-related records in compliance with agency policies and procedures.

Assists with inventory of fixed assets and consumable supplies for the OIG and maintains accurate records of assets being used. Orders supplies and prepares purchase requisitions as needed, and maintains a system to track purchases for the fiscal year.

Collaborates with OIG staff in meeting established objectives and goals; shares information, identifies concerns and trends, and recommends improvements to resolve administrative problems or enhance administrative operations.

May analyze internal processes and recommend and implement procedural or policy changes to improve operations.

Monitors outcomes for racial, ethnic and gender disparities and takes action to address identified disparities.

Performs a variety of related duties not listed, to be determined and assigned as needed.

Performs all duties in compliance with agency safety policies and procedures.

  • Reports safety hazards and corrects hazards when possible.
  • Completes required documentation in the event of an accident/injury within requested time frames.

Regularly attends work in a predictable manner, as scheduled and on an as-needed basis, in accordance with agency attendance and leave policies.


Qualifications


MINIMUM QUALIFICATIONS

Bachelor’s degree. Two years of full-time wage earning experience in office management or business administration.

OR

High School diploma or equivalent. Six years of full-time wage earning experience in office management or business administration.

Preferred:

  • Experience working in a law enforcement environment.
  • Extensive experience with Microsoft Office software.

Experience and Education Substitutions:

  • One year of appropriate experience may be substituted for one year of college (30 course hours) on a year for year basis.
  • Completed course hours of undergraduate study may be substituted for up to four years of experience on a basis of 30 course hours for one year of experience.
  • Completed course hours of graduate study may be substituted for up to two years of experience on a basis of 12 graduate course hours for one year of experience.
  • Experience requirements may be satisfied by the prorated part-time equivalent.

Note: Any degree, diploma, high school equivalent, or course hours required to meet minimum qualifications must be obtained from an accredited educational institution.
