Role and Responsibilities
  • Manage the office and work environment (maintain nice, neat, and clean all the time to promote productive work);
  • Maintain office supply inventory management and control, including tracking inventory levels, placing routine and special orders with vendors and resolving any related discrepancies;
  • Manage the company car leasing list to include documentation, pick-up, delivery & return;
  • Manage the inbound/outbound mailing process; sort mail to ensure invoices are paid in a timely manner; deliver packages to the local FedEx office for shipping;
  • Assist in the coordination and planning of company events for celebrations & holidays;
  • Help maintain the company cafeteria i.e. cleanliness, inventory control;
  • Ensure expense reports are completed & submitted accurately and timely;
  • Coordinate and manage special projects as needed;
  • Organize meetings, business trips, flights, catering, etc.;
  • Provide assistance to the office personnel and other supervisors as necessary;
  • Other responsibilities as assigned by Management;

Skills and Qualifications
  • The ideal candidate has minimum 5+ years Office Manager experience;
  • Associates degree is required; Bachelor’s degree preferred from an accredited institution;
  • Proficiency in MS Office with expertise in Outlook, Microsoft Word, PowerPoint and Excel;
  • Ability to handle administrative details independently, while exercising good judgment in keeping team members adequately informed;
  • Exceptional written, verbal, and interpersonal communication skills;
  • Exceptional planning, time management and organizational skills;
  • Grace under pressure, and the ability to react with appropriate levels of urgency to situations and events that require quick response or turnaround;
  • Proven ability to keep information organized and confidential;
  • Strong ability to work independently and manage one’s time;
  • Prior experience working for a large, global company is a plus.
