The Office Manager role is crucial, performing multiple operational duties and playing a key role from day one. The Office Manager position will work closely with the franchise owner to craft a company culture of high-quality service, collaboration, and a low-stress work atmosphere that allows for plenty of fun at the same time.

Key Responsibilities:
Customer Relations & Marketing
  • Be present in our conveniently located office/studio location for project coordination and to address customer needs.
  • Promptly and properly address new customer calls and emails to schedule appointments asap.
  • Assist sales team as needed with customer follow-ups.
  • Support local marketing efforts as needed, including participation in periodic (and fun!) local events.
  • Resolve customer concerns, providing top-tier customer service via phone and in-person.

Financials
  • Accurately update QuickBooks daily for all income and expenses.
  • Prepare daily and monthly financial reports to support third party reviews.
  • Track, prepare and manage timely payment of business-related expenses.

Production
  • Manage agenda for daily and weekly standup meetings across teams to include owner, sales, installers, and support staff to review schedules, announcements, and special customer requests.
  • Order product needed for jobs accurately and follow up on delivery, including management of common materials inventory and shipping/receiving.
  • Schedule jobs to meet the requirements of customers and installers and ensure regular communication of progress.
  • Update systems daily with job status and future scheduling.
  • Assist with fielding requests for change orders and obtain written permission for any changes in contracted work.
  • Assist owner with timely and accurate payroll processing as needed.

Continuous Improvement
  • Manage agenda for weekly retrospective meetings across teams to include owner, sales, installers, and support staff to reflect on best practices and lessons learned, discuss wrap up work and look ahead.
  • Be available to attend training at owner’s discretion for current role and career development.
  • Contribute to company success by identifying areas of opportunity to improve efficiency of operations.
  • Make decisions and act in accordance with Floor Coverings International core values and mission.
Required Qualifications:
  • 1+ year in office management, administrative or project management capacity.
  • Strong communication skills, particularly over the phone.
  • Organized, detail-oriented, and able to multitask.
  • Some bookkeeping experience required (QuickBooks a plus!).
  • Adaptable to role as needs change with company growth and team/service expansion.
  • Self-starter and able to work independently without supervision.
  • Ability to pass a thorough background check.
Desired Qualifications (not required):
  • 2+ years in similar office manager role working across both sales and installation teams.
  • 1+ years’ experience in a customer service capacity.
  • Desire for future career development opportunities.
  • Current engagement within the community (e.g. volunteerism, events, networks).
Compensation
  • Range $36,500-51,000/year (commensurate with experience).
  • Eligible for healthcare stipend.
  • Eligible for shared success incentives based on individual and company performance.
  • Eligible to attend our annual convention in Cabo, Mexico.
Compensation: $17.50 - $24.50 per hour
