Position Summary


Oversee all office management and front desk related functions in a timely, cost effective and highly professional manner. Work closely with various members of management and leaders to ensure efficient handling of employee and candidate information.


Duties and Responsibilities


Office Management

  • Oversee all Office operations for 2 Jacksonville locations.
  • Manage all office management functions including the coordination of all supply ordering, office improvement functions, and furniture upgrades
  • Manages external vendors and be able to appropriately track ongoing needs.
  • Actively participate on various committees & assist with employee functions as necessary
  • Manage the organization of client meetings held at SMT Jacksonville. If requested, assist with meeting agendas, scheduling and ordering food/refreshments
  • Assist with the management of various administrative functions and special projects for the SMT Jacksonville offices
  • Ensure ongoing cleanliness and organization of office spaces
  • Manage the building alarm system for both Jacksonville locations, including the allocation of access cards, system upgrades, processing staff related changes, providing employees training on the system and assisting with after-hours alarm issues.
  • Manage the cell phone contract for SMT Jacksonville. This includes reviewing contract updates, analyzing usage reports, making cost saving recommendations, assisting staff with phone purchases & issues and ensuring accuracy of the monthly charges.

HR Administration

  • Assist with New Hire Start Dates and Orientations
  • Work with HR Director to update the SMT Jacksonville handbook with revised policies
  • Assist with various Human Resources projects, deliverables and special initiatives when appropriate.


Education Requirements


  • Associates Degree preferred


Experience Requirements


  • 1-2 years working in a professional office setting preferred
  • Prior experience in general Human Resources functions a plus


Skills & Special Requirements


  • Must be comfortable working in a fast-paced work environment and should be able to handle multiple priorities at once
  • Proficiency with MS Office required, specifically MS Word, Excel & Outlook
  • Ability to handle sensitive and confidential information in a professional manner
  • Must have above average interpersonal & communication skills.
  • Must have attention to detail in composing, typing and proofing materials.
  • Ability to establish priorities, meet deadlines and work without supervision.
  • Must be a self-starter with strong organization skill and good prioritizing abilities.
