Position Title: Office Coordinator (Fair Logistics)
Rate of Pay: $16.00
Position Purpose:
Performs a variety of administrative duties to support the Fair Logistics Committee (FLC). Coordinates rental equipment contracts and vendors. Conducts field layouts and measurements in support of a department or function within the organization. This is a temporary seasonal position not to exceed 119 days.
Essential Functions:
  • Assists the lead and/or department Supervisor in coordinating department meetings, order reviews and planning efforts with other departments within the organization.
  • Assists layout areas for tenting, office trailers, stages, mobile offices, fencing, restroom trailers, pipe and drape, etc. with measuring tapes, measuring devices, spray chalk and stakes.
  • Assists with spotting trailers, fencing, tents, furniture, and mobile offices into position in a timely and accurate manner.
  • Coordinates the delivery and pick up with equipment vendors and contractors, ensuring that the correct equipment is provided on time.
  • Tracks all OC Fair & Event Center’s (OCFEC) rental equipment invoices and match contract pricing to ensure accurate billing to vendors and contractors.
  • Assists with performing duties required in contracts (e.g., Request for Proposal and Invitation for Bid) to build a successful and professional relationship with vendors and contractors.
  • Prepares operations tasks list, master order and important date spreadsheets.
  • Research fair orders in detail and work with Business Services and Accounting to confirm accurate invoicing.
  • Organize and coordinate with staff and business partners to prepare the load-in for year-round events and the annual OC Fair.
  • Performs computer data input and generates reports as requested.
  • Assists with order deliveries and pickups in the field
Schedule:
March- May (Mon-Fri*): 2 days per week, 7:00am-3:30pm
June- Mid August: 4-5 days per week, 7:00am-3:30pm
This schedule is subject to change due to business needs. You may be scheduled on weekends and late evenings occasionally. In addition, you may be scheduled for more or less hours than those listed above.

Qualifications:
  • Must be at least 18 years of age or order.
  • Valid CA Driver’s License.
  • Excellent computer skills and demonstrated ability to use Microsoft Word, Outlook, Excel, and Google Apps.
  • Excellent teamwork skills
  • Ability to successfully handle and prioritize multiple tasks with minimal supervision.
  • Ability to use a tape measure and/or measuring wheel and have an understanding of basic math.
Preferences:
  • Ability to work outside the normal business day/week as demanded by events and programs.
