Position Title: Office Assistant


Report To: 360 Life Center Director


Qualifications:


Education: High School Diploma or equivalent preferred.


Experience: A minimum of one year of administrative support experience preferred. On the job training will be provided.


A background inquiry/approval and MVR clearance will be necessary for the final candidate(s).


Skills:

  • Excellent interpersonal skills and a professional manner.
  • Strong organizational skills, with the ability to prioritize tasks.
  • Must be able to work independently and confidentially.
  • Computer skills, including Microsoft products, Internet and emails.
  • Heart and desire to work with Social Service families.

Job Summary: The purpose of this position is to function as the first point of contact for those calling or visiting The Salvation Army of Tazewell County by sharing information and showing hospitality while maintaining building security.

Responsibilities:

  • Warmly greet, answer calls and provide referrals as appropriate.
  • Understand/enforce entry and safety procedures with staff and visitors.
  • Provide basic administrative support to Director and department heads as necessary.
  • Oversee and maintain all related equipment and supplies while ensuring proper maintenance schedules are followed. (i.e., copier, fax machine, postage machine, etc.)
  • Assist with Food Pantry program management and distribution to Social Ministries guests.
  • Assist with Food Pantry supplies to ensure they are available, tracked, documented, and organized in the spirit of efficiency and availability to those we serve.
  • Assess the basic Social Service needs of guests to in order to assist families and individuals as necessary.
  • Be present at all related staff meetings and take appropriate minutes.
  • Maintain and manage all front office files. Ensure all files are kept confidential, compliant, and organized as required.
  • Coordinate with Director and staff to provide orientation and documentation for all volunteers including but not limited to those that may be court appointed, TANF, and National Able volunteers.
  • Maintain positive work atmosphere through appropriate conflict management, courteous demeanor, and professional and appropriate communication practices.
  • Maintain compliance in The Salvation Army’s “Safe from Harm” Certification.
  • Perform other duties as assigned as related to office and social ministries needs.

Position Ranking:

Part time, non-exempt.


Physical Demands/ Work Environment:

This position is required to do basic business and office work. In order to successfully perform the essential functions of this position, the individual is regularly required to talk and listen, stand, walk, sit, use hands to finger, handle or feel. Individual must be able to reach with hands and arms, climb or balance, stoop, kneel, crouch or crawl and talk or hear. Individual must also be able to lift up to fifty pounds. The use of Office and Computer Equipment is necessary. Vision abilities will require close vision. There is low to moderate noise level for this position.
