Medical Office Assistant Sales Manager - Bard Optical – Champaign, IL
Bard Optical is looking to hire a full-time Office Assistant Manager for our office located in Champaign IL. Our ideal candidate will have a strong business acumen; personnel management experience; sales background; and skills in diplomacy, customer service and leadership.
General Description of Position
Since Bard Optical is a retail practice, the highest priority for the Assistant Office Manager is generating sales. The Office Manager shall take all steps necessary to support sales growth of the office while overseeing the day-to-day operational efficiencies of the office. The Office Manager works with the Area Manager to ensure the office is running at peak efficiency. The Office Manager also works in conjunction with the Corporate Trainer to maintain sales and operations training for all associates.
Major Duties and Responsibilities
  • Monitor and achieve sales growth and other performance goals set by the home office including KPIs and other measures.
  • Work with Area Manager to recognize and reward top sales performers.
  • Ensure highest quality patient service.
  • Responsible for meeting or exceeding sales budgets set by senior management.
  • Oversee ongoing sales and operations training for all staff. This includes taking necessary steps for retention, inspiration, training and management of staff.
  • Make recommendations to Area Manager regarding product mix and selling price by keeping current with supply and demand, changing trends, economic indicators and local competitors.
  • Participate in annual sales budget meetings with Area Manager and Vice President.
  • Participate and encourage others in the office to participate in sales contests.
  • Demonstrate and coach high level sales skills for associates.
  • Stay up to date in monitoring and sharing sales, KPI and other reports shared by management.
  • Manage payroll and other costs of the office to maximize profitability.
  • Work with the Insurance Manager, Area Manager and Director of Sales to review billing irregularities and communicate recognized issues.
  • Maintain open communication with Area Manager and all other corporate staff and management including executive team members.
  • Set and maintain internal sales and operational goal for each associate.
  • Participate in the hiring process.
  • Ensure highest quality patient service.
  • Enforce corporate policies within framework of the Employee Handbook.
  • Maintain open communication with any doctors assigned to the office and share important information with management.
  • Demonstrate advanced leadership skills.
  • Participate in local leadership opportunities including participation in the chamber of commerce.
  • Oversee that the office complies with all provisions of the Retail Operations Manual.
  • Create work schedules for associates to maintain adequate staffing.
  • Oversee that all bank deposits are made according to company policy.
  • Ensure that daily closings are accurate.
  • Approve remakes/re-rings according to company policy.
  • Serve as a coach and role model to all associates especially on issues related to sales and operations, including but not limited to use of all point-of-sale, electronic medical records, billing, marketing programs and corporate policies and procedures.
  • Oversee the maintenance and security of all assets in the office.
  • Monitor patient relations including the review and handling of patient survey responses.
  • Communicate with Area Manager and Director of Operations regarding potential physical plant improvements in the office.
  • Oversee the security of all office keys.
  • Oversee the security of the office information systems with particular attention to password security.
  • Ensure compliance will all HIPAA standards for the protection of private health information.
  • Complete daily, weekly and monthly management and administrative tasks on a timely basis.
  • Participate in Office Manager weekly meetings convened by the home office.
  • Demonstrate excellent time management skills.
  • Properly manage inventory and oversee all inventory counts.
  • Perform such other duties as assigned.

  • Requires excellent problem solving and critical thinking skills in order to work most effectively with patients, associates, managers and doctors.
  • Requires sound analytical skills for operations and sales analyses.
  • Requires strong capacity to negotiate with and influence others.
  • Must have exceptional commitment to patient service and be able to set personal feelings aside when working through issues.
  • Must have outstanding communication skills and be able to interact with associates and patients of diverse backgrounds. The Office Manager should be skilled in adjusting presentation and communication style as needed and serve as role models in all interactions.
  • Requires ability to adapt to changing circumstances while continuing to focus on the company’s goals and macro-level perspective of our business.
  • Must be able to discern and analyze facts and make decisions which support our business goals.

Other Responsibilities:
  • Responsible for assisting management in setting and achieving sales goals.
  • Respond to questions from associates, doctors and patients.
  • Be proficient on all computer programs used by Bard Optical.
Education:
High School diploma/GED or equivalent experience
College degree preferred
Experience:
Candidates with prior optical, retail and/or management experience preferred. Candidates with prior experience within Bard Optical are highly preferred.
Candidates with special training (i.e. ABO Certification) preferred.
Candidates with knowledge of pretest and exam lane equipment maintenance preferred.
Working Conditions:
Office environment. However, position may require very limited travel.
