Our agency is actively recruiting to fill a full-time, permanent Office Assistant 3 (OA3) vacancy within the Community Corrections Division. T his position works for our Civil Commitment Unit located at 10109 South Tacoma Way, Building C-4, Lakewood, WA 98499.

Under general direction of the Community Corrections Supervisor and Corrections Specialist 4 (CS4), this position provides clerical support and assists the Civil Commitment Programs. This position has statewide impact by performing independently, complex clerical projects and assignments such as preparing responses to frequent requests for information, establishing manuals or electronic recordkeeping/filing systems and/or data base files, and responding to inquiries requiring substantive knowledge of office/departmental policies and procedures.

Duties

  • File preparation and maintenance.
  • Monitor Civil Commitment mailbox and handling/forwarding all incoming documents and Civil Commitment related issues.
  • Tracking/reviewing databases, such as SharePoint, OnBase, OMNI (Offender Management Network Information) for criminal history reports, and other offender management programs.
  • Support office operation in multiple areas, such as back up reception coverage as needed.
  • Other duties as assigned.

Qualifications

Required Qualifications

  • High School graduate or equivalent.
  • Six months clerical and/or customer service experience.
  • Basic level of proficiency and knowledge in Microsoft Office to include Outlook, Word, SharePoint, and Excel.
  • And must possess a valid, unrestricted driver's license.
The successful candidate will possess the following skills and abilities:
  • Ability to work with individuals with various criminal backgrounds.
  • Strong written and verbal communication skills.
  • Ability to analyze and solve issues under stressful/adverse conditions.
  • Ability to effectively communicate with co-workers, the public, and/or criminal justice agencies.
  • Ability to navigate internal databases.
  • Ability to multi-task and receive direction both verbal and written.
  • Maintain regular and reliable attendance.
  • Must respect and maintain confidentiality.
Desired Qualifications
  • Minimum of two years clerical experience to include basic level proficiency and knowledge in Microsoft Office programs such as Outlook Word, SharePoint, and Excel.
  • Experience in OMNI, OnBase, and use of scanner, copier, and fax machine.

  • Salary is based on experience and is determined at the time an offer of employment is made. The salary listed in the job posting includes Steps A-M. Step M is a longevity step and is typically gained six years after being assigned to Step L in your permanent salary range.

Telework Details
This position may be allocated for telework for up to three days each week. If approved, work may be performed from your home or another offsite location within the state of Washington using a reliable internet or cellular hot spot service at that time. Employees are expected to perform assigned duties in a safe manner; to take proper care of all state-issued equipment; and maintain confidentiality of all information in possession while working offsite. Employees will be required to commute to a Department of Corrections facility or field office as business requires to potentially include components of the onboarding process. Some offices will have a “drop in” area available, however, a dedicated workspace within a DOC facility may not be provided.
