The St. Louis Kaplan Feldman Holocaust Museum seeks a highly motivated Office Administrator who will provide administrative support to the Executive Director, Museum Team, and the Board of Directors.

This position is critical to the success of the team and is responsible for:

Providing administrative and office support primarily to the Executive Director and Board of Directors including:

  • Coordinating and scheduling meetings;
  • Keeping accurate Board and Committee meeting minutes;
  • Booking travel arrangements and preparing travel reimbursements for staff and board members;
  • Assisting with new project outlines, planning, timelines, and tracking;
  • Assisting ED and the accounting provider with process development and documentation;
  • Acting as a liaison as appropriate between leadership and internal/external parties.

Supporting other team members of the museum including:

  • Paying museum credit card and purchase order statements
  • Serving as liaison to shared services provider;
  • Working with office-related vendors;
  • Working with internal departments to assist with data entry and light bookkeeping;
  • Compiling and reconciling data related to contributions, grants, deposits and CC reconciliations with the accounting provider;
  • Creating and maintaining procedural documents related to the position.

Providing support and coordination for internal and external bookings in the Impact Lab and other training opportunities including:

  • Answering questions via phone, online contact form, and email, or routing to the appropriate party;
  • Serving as backup to the Museum’s events coordinator, touring interested clients through rental spaces and explaining prospective training programs available in museum spaces.

Qualified candidates will possess:

  • 5+ years of executive assistant or office administrator experience;
  • Experience in non-profit positions supporting a Board of Directors is a plus;
  • Ability to maintain strict confidentiality;
  • Strong detail-orientation and skills in file maintenance;
  • Ability to prepare accurate Excel and Word documents
  • Proven organizational skills;
  • Ability to work skillfully with external and internal stakeholders;
  • Excellent communication skills, both written and verbal.
  • Excellent computer skills and experience with Microsoft Office Suite and Office 365.

We offer a competitive compensation package including a base salary of $55,000 - $60,000 and benefits package including:

Pay: $55,000.00 - $65,000.00 per year
