The Office Administrative Associate is responsible for the general administrative support of the College’s Learning Lab department. This position serves as the primary point of contact for students and visitors of the Learning Lab. This position demonstrates excellent customer service in responding to general questions and inquiries related to Learning Lab services, and collaborates with a variety of campus offices and departments.

Specific Responsibilities
  • Provides administrative support to the Department Head (DH) of the Learning Lab and serves as the primary point of contact for students and visitors of the Learning Lab.


  • Maintain sensitivity, understanding, and respect for a diverse academic environment, inclusive of students, faculty, and staff of varying social, economic, cultural, ideological and ethnic backgrounds.

  • Demonstrates excellent customer service in responding to general questions and inquiries related to Learning Lab services.

  • Works collaboratively with other areas providing support services within the Library and Learning Commons and at the College.
  • Utilize various electronic record keeping and database platforms employed at the College; Argos, Kronos, Starfish, WCONLINE, and Banner. Performing tasks including data entry and processing, as well as reporting on data.
  • Extracts data and prepares reports utilizing Word and Excel.

  • Assists the Department Head with the planning, scheduling, and coordination of the departmental training sessions and meetings.
  • Distributes hiring packets to prospective peer tutors, getting appropriate approvals from the DH, and submits the appropriate forms to Human Resources.
  • Under the supervision of the Department Head, maintains the schedules for all student receptionists, peer tutors, and faculty (FT and PT) work assignments throughout the semesters and summer sessions.
  • Performs general office procedures and processing of weekly attendance for the PT faculty, peer tutors, and student workers.
  • Contacts students, notifying them of any possible changes to their tutoring appointments.
  • Responds promptly and professionally to telephone messages and emails from students, faculty, and staff.

  • Assists with the scheduling of classrooms.
  • Maintains the proper supplies required for the various daily operations in the LLAB and SACC, copier, and lockers are kept in order.

  • Other duties as assigned.

Minimum Qualifications
  • High School Diploma or its equivalent (GED) required.
  • Six (6) years of clerical and administrative experience in a fast-paced, professional and customer-oriented environment required.


  • Demonstrated proficiency with Microsoft Word, Excel, and Outlook required.
  • Demonstrated excellence in customer service and professionalism with internal and external stakeholders (e.g. students, faculty and staff) in person and via telephone and internet required.
  • Excellent interpersonal, written and oral communication skills required.
  • Ability to extract and prepare data for reporting required.

  • Strong critical thinking and problem solving abilities required.
  • Detail oriented and strong attention to detail required.
  • Demonstrated ability to perform multiple tasks with changing priorities required.
  • Strong organizational and time management skills required.
  • Ability to maintain sensitivity, understanding and respect for a diverse academic environment inclusive of college faculty, staff and students of varying social economic, cultural, ideological and ethnic backgrounds required.

Preferred Qualifications
  • Previous clerical and administrative experience in higher education preferred.


  • Previous experience with Banner preferred.
