We are currently seeking a Medical Secretary for our North Wales, PA location. This s is a Full-Time in-person position.

As a Medical Secretary, you will provide front desk support to our psychiatrists to allow them to devote their time to care for our patients. In this role, a successful candidate will manage schedules to ensure adequate access to our patients, manage front desk activities including checking in patients, collecting co-pays and deductibles and outstanding patient balances, scheduling follow-up psychiatry appointments, answering phones, responding to voice mail messages, returning patient calls with instructions from psychiatrist, scanning forms into our EMR (Valant), obtaining prior authorizations for medications, and other duties as assigned.

Schedule: Monday - Friday 8:30 am - 4:30 pm

Compensation: $19.00 - 21.00 per hour

Requirements:

  • 2-4 years of medical secretary experience in outpatient healthcare and/or behavioral health setting
  • Excellent interpersonal skills with an energetic personality are a must for this position as this position interfaces with our clients on a routine basis
  • Ability to communicate effectively with patients, therapists, physicians, and colleagues.
  • Ability on a limited basis to travel to our various outpatient practice sites in the surrounding communities.
  • Experience with using and navigating an EMR system
  • Typing and computer proficiency

Beneficial Skills & Experience:

  • Accurately and appropriately schedule psychiatric appointments
  • Educate prospective and current patients on our practice policies and procedures
  • Verify and update patient registration information including demographics, pharmacy, credit card and insurance information at time of visit
  • Thoroughly and accurately relay financial responsibility to the patient based on their insurance benefits as entered in Valant IO, including Financial Policy of Springfield Psychological
  • Promptly answer incoming calls and direct messages to appropriate individual, provider, and/or department
  • Accurately collect service fees at time of check in and provide receipt as requested
  • Routinely retrieve voicemail messages and promptly respond within the same business day or the following business day morning
  • Routinely retrieve faxes and promptly respond within the same business day or the following business day morning
  • Scan and upload documents to patients’ charts as necessary
  • Manage providers’ schedules (cancel/reschedule appointments) as requested by the provider and/or Practice Administrator and maintain a full schedule by reviewing schedule in advance to identify openings
  • Uphold and comply with practice policies and procedures (i.e. Emergency Medication Refill, Cancellation Fees, Scheduling without a balance)
  • Maintain patient confidentiality in adherence to HIPAA (Health Insurance Portability and Accountability) regulations
  • Professionally conduct yourself in speech, action, and dress
  • Demonstrate teamwork amongst fellow Springfield Psychological colleagues to provide excellent service experience
  • Continuously seek to identify efficient ways to perform work responsibilities and communicate in a thoughtful, respectful, and professional manner
  • Demonstrate flexibility and openness to change
  • Demonstrate proficiency with Valant IO/EMR
  • Other duties as assigned
