We are hiring a Materials Management Coordinator. This key new role will provide support to the Materials Management and Shipping department functions as assigned. The person in this role will focus on reporting, data collection, materials management and Shipping support. The Coordinator will support any project or assignment as may be given by the Sr. Materials Management Manager, Manager, Supervisor, and Director.

Responsibilities:
  • At management’s discretion, initiates or executes Materials administrative practices and procedures determined by the Shipping and Materials Management Department or in conjunction with other departments
  • Extract information from reports in FUJIFILM Irvine Scientific systems and get data from various users on the team that will be use to populate a Daily/Weekly/Monthly/Quarterly/Annual reports/Materials and Shipping’s KPIs
  • Create, maintain and organize Materials database for selected documents (TBD) and regulatory reports
  • Prepare management reports for Sr. Manager routinely or as needed
  • Prepare or assist in the preparation of presentations and charts
  • Assist in audit activities
  • Coordinate information flow and follow up on completion of correspondence and reports
  • Maintain working levels of office supplies for the Materials and Shipping department
  • Create Dashboards / KPI / presentations from various reports
  • Handle Claim processing and other various activities
  • Exercise independent judgment with respect to real or potential problems and, on own initiative, bring such matters to the manager's attention with recommended action
  • Update Departmental Standard Operation Procedures (SOP’s) and Desk Top Instructions (DI’s) as required to support business needs
Experience/ Education:
  • Associate’s degree or equivalent experience required; APICS certification desirable
  • 3-5 years general business experience, at least two of which should be directly supporting an operating or Supply Chain department
  • 2 to 4 years of Materials Management in a cGMP and FDA regulated environment preferred
  • Advanced knowledge of business administration practices and specialized training in administrative techniques gained through business college or experience
  • Organization skills and possession of tact and diplomacy is a necessity
  • Proficient in Word, Excel, Power Point, Visio, Google and Outlook
