The Role

Reporting to the Office Manager, you will provide administrative support to the members of the Operations Department. As part of your specific responsibilities, in the following areas, you will:

  • Maintain and post department schedules/calendar and other information
  • Prepare weekly teams work schedules
  • Support Operations timekeeping
  • Review Operations department payroll for accuracy and necessary corrections
  • Track overtime hours for fatigue management
  • Prepare Dock Packets and paperwork associated with Dock movements.
  • Format, prepare, and issue Operations Manuals & Procedures (technical content provided by team members)
  • Maintain breakroom, copiers, and other department equipment (order supplies, schedule maintenance, refill toner, etc.)
  • Support department meetings (Prepare paperwork, presentations, food)
  • Filing and Records Management
  • Maintain Databases (processing entry, action item communication, report progress)
  • Timesheet hours entry for the Maintenance Department for project tracking in SAP.
  • Serve as Back up for the Office Manager
  • Perform other duties as assigned


The Requirements

To meet the basic qualification for this role, you will have legal authorization to work permanently in the United States for any employer without requiring a visa transfer or visa sponsorship. To be a good fit for the Manufacturing Administrative Assistant opportunity, you will have:

  • 5+ years of experience providing administrative support to an active and dynamic team.
  • Clear verbal and written communication skills.
  • Self-starter with strong organizational skills and the ability manage multiple tasks while attending to details and meeting deadlines.
  • Demonstrated professional interaction with diverse workforce as the face of the Department.
  • Good computer skills with intermediate proficiency in Microsoft Office (Word, Excel, PowerPoint, Teams) with demonstrated ability to Utilize/maintain electronic databases and pull, format, create, and manipulate data
  • High School Diploma Required


Strongly desired Qualifications:

  • Experience managing programs (e.g., maintaining and tracking).
  • Experience supporting a department in an industrial or manufacturing setting.
  • Scheduling and Time Keeping experience (Ceridian system preferred)
  • Experience working in union environment a plus

Pay Range:

$21.30 - $31.95 per hour
