This essential position serves as the main point of contact for operations and logistics for the entire Student Transitions and Family Engagement Portfolio (ST+FE). Specifically, this position coordinates and manages all program logistics including but not limited to meeting space/classroom scheduling, arranging A/V equipment and support, parking/transportation, catering/dining, event signage, campus operations, equipment rental, vendor contracts, expense tracking, etc. This position will be the primary logistical liaison for all large-scale events within the ST+FE portfolio including Move In, Pre-Orientation, New Student Orientation (NSO), Family onboarding, and Family weekend as well as for smaller signature programming. The program coordinator will also coordinate all staff, volunteers, and vendors to optimize event impact and success.

We are seeking a Logistics Coordinator who will report to the Assistant Director for Orientation and First Year Experience but works with all offices within the portfolio and has a dotted line reporting to the Assistant Director for Family Engagement. Evening and weekend hours are to be expected during peak seasons.

Specific Duties & Responsibilities

Work with ST+FE staff to coordinate and execute all logistics for all ST+FE programs and events, including but not limited to Pre-Orientation, NSO, Family onboarding, Family Weekend.
Support the ST+FE team in defining and then achieving success at an event/tactical level; while also identifying areas to improve the student experience.
Maintain essential relationships with key on-campus partners including Residence Life, Scheduling & Event Services, Dining, Transportation, Kit Kats, Plant Operations, etc..
Initiate and maintain off-campus vendor relationships.
Review, negotiate, and process payment of all vendor contracts.
Manage and track all expenses related to ST+FE programs and events.
Recruit and manage staff to work large scale events.
Provide consultation as necessary for event-related publications and advertisement, such as invitations, flyers, and social media.
Provide on-site supervision for all event logistics and troubleshoot as necessary.
Help supervise and delegate work to undergraduate and graduate student workers.
Assist with onboarding of teammates.
Manage inventory for programs, including maintaining inventory of supplies and shopping.
Perform other duties as assigned.

Minimum Qualifications

High School Diploma or graduation equivalent.
Five years progressively responsible related experience.
Additional education may substitute for required experience, to the extent permitted by the JHU equivalency formula.

Preferred Qualifications

Bachelor's Degree strongly preferred.
Five years' experience in events planning, logistics and/or coordination desired. Direct involvement and/or working experience within student affairs or higher education is preferred.
