Overview:
Nelson Mullins Riley & Scarborough, LLP is currently seeking a Legal Administrative Assistant to join our Data Protection, Privacy, and Security team in Macon, GA. This position supplies a wide range of secretarial, administrative, and clerical support to a legal team in a demanding environment.
A Day in the Life:
The idea candidate will have 3-5 years of experience managing the day-to-day task of office operations as well as performing specific complex legal task. Responsibilities will include managing office inventory, calendar management for multiple attorneys, planning and scheduling events, booking travel, as well as submitting expense reports. The assistant will also be responsible for aiding timekeepers in reviewing invoices and communicating with the billing department to finalize invoices. As new clients come in the Administrative Assistant will open new matters on the firm e-plate firm as well as prepare engagement documents to be emailed to clients using DocuSign. In addition this role will be responsible in working with the attorneys to ensure CLE requirements are met and properly reported.

The attorneys in this office focus on Data Protection, Privacy, and Security. This role will play an active part in responding to security breaches by notifying Attorney Generals as well as sending notices to individuals who are affected by the breach. As new breach matters com in emergency conflicts request as submitted to expedite the response process.

This role will require the ability to assist with midnight filings that occur approximately four times per year.

The Administrative Assistant must subscribe to an elevated level of professionalism and communication with the ability to work under strict deadlines.

The idea candidate will be proficient with Microsoft Office Suite (Excel, PowerPoint, and Word) to perform mail merges, create power point presentations, and spreadsheets. A understanding of technology, and the ability to thoroughly proofread is required. Experience with a document management system, billing software, and time entry program will also be useful in this role as well electronic docketing filing experience.
