The successful candidate will be responsible for cost effective provision and administration of travel and accommodation services to support the team’s corporate and competitive objectives.

The role: *
As our Lead F1 Travel Coordinator your responsibilities will include: co-ordinating the management of travel for events and adhoc including but not limited to:

  • Flights / hotels / car hire / transfers / Subsistence and overnight allowances whilst adhering to policies and procedures.
  • Coordinate all GP travel providing the traveller with best possible option (cost / time) for their requirements to ensure a seamless trip. Ensuring the Travel Request Form process is adhered to at all times.
  • Ensure all allowances are up to date and submitted by the deadline set.
  • Maybe required to travel although will be limited.
  • Provide out of hours contact as and when required for all travel arranged by the job role, if unable to do so ensure that an alternative is arranged.
  • Reconcile and complete the administrative process for all invoices including credit card statements / flight / car hire reconciliations.
  • Lead Responsibility to ensure all team members have the relevant Visa and vaccinations requirements for the specific travel.
  • Manage flights for all European F1 race/ test /demo events and hotel procurement by meeting with key stake holders to discuss travel requirements.
  • Prepare hotel addendum cover sheets and flight cost analysis sheets. Responsible for F1 driver travel for races and adhoc.
  • Step in for Travel Manager at meetings regarding F1 Travel when required.
  • Make decisive decisions in the Travel Manager's absence relating to F1 race / test.
  • Provide sign off cover in absence of Travel Manager (be a delegate within SAP and concur).
  • Management of Marriott Travel spend for F1.
  • Certify that all travel bookings are made in accordance with the Purchasing Policy.
  • Provide feedback and suggestions to the Travel Manager on how processes and procedures can be improved including distribution of workload and management of people.

As and when requested, assist and provide support to the Travel Manager and the rest of the travel team including but not limited to:

  • Maintain and provide records and other information to facilitate the smooth operation of the travel department.
  • Assist with the coordinate Driver / VIP events
  • Assist in the preparations of the Travel steering group meetings

When procuring travel related services (flights, hotels, etc) ensure that the best procurement practice is followed to ensure that the best commercial terms and rates are achieved

  • Educated to at least A level or degree standard, experience within the travel industry.
  • Ability to communicate clearly and openly at all levels within an organisation.
  • Able to demonstrate an awareness of confidentiality across all areas.
  • Capable of using own initiative and making decisive decisions in difficult situations.
  • A self-driven, pro-active individual with a “can do” positive attitude and strong worth ethic.
