GVI, Inc., a Federal Government Contractor industry leader, is seeking an Administrative Specialist with experience in a Government Contracting Office or Acquisition Program Office to support our federal customer.

Qualified candidates will provide administrative and records management support to clients to include:

  • Collect, organize, file, and retrieve all documentation, including reports, correspondence, messages, meeting minutes, memos, and all other incidental documentation.
  • Perform clerical duties to assist with management of data calls. These duties can include, but not be limited to, use of advanced features within the Microsoft Office or Office 365 software to perform data and statistical analysis of information and the ability to transform this information into spreadsheets, graphs, pivot charts, and other output within the time constraints specified by the requestor.
  • Assist in the preparation of graphics, briefings, and multimedia presentations, including illustrations, diagrams, and charts, as directed. Prepare and format the material in accordance with local directives, free of errors, and submitted within the time constraints specified by the requestor.
  • Provide correspondence serialization and maintenance of serialized records throughout the document lifecycle, including distribution of designated correspondence and contract award documents within the time constraints specified by the requestor.
  • Provide records management support for official acquisition records.
  • Scan/upload documents.
  • Create/Maintain a central electronic database management system compatible with Microsoft Office software.

Required Experience:

  • High school diploma
  • Two to five years of experience in a Government Contracting Office or Acquisition Program Office

Preferred Experience:

  • Bachelor’s degree from an accredited college or university
  • Ability to process concurrent tasks and work with other team members to accomplish larger or complex tasks
  • Excellent verbal and written communication skills
  • Two to three years of experience in MS Office applications
  • Knowledge of office management principles and procedures
  • One to two years of experience in the use of records management, database
  • management, word processing, spreadsheet and presentation software
  • Experience in supporting records management of official contract files
