Position Summary: The IT Procurement Specialist will assist in managing IT vendor relationships which will encompass managing the contract life cycle, from contract formulation and execution to performance measurement and reporting. In this role the IT Procurement Specialist acts as a key contact in contract-related activities and will assist or lead the contract execution process, assist or lead problem resolution and corrective action while mitigating delays, assisting with audits, assessing internal customer satisfaction levels with selected vendors, and escalating issues. This position is REMOTE BASED.


Primary Responsibilities and Activities:

  • Assist with development and governance of a vendor performance management framework to implement consistency across Ingersoll Rand’s IT vendor portfolio.

  • Work with vendors and key stakeholders to process contract change requests.

  • Maintain a contract management database that contains all executed contracts, as well as contracts that are under development but are not yet active. Moreover, track obligations, deliverables and contract change notes. Manage and control access to documents as appropriate.

  • Work with internal stakeholders to assist with developing statements of work (SOWs) and understand any current requests for information (RFIs), requests for quotations (RFQs), and requests for proposal (RFPs) in the pipeline.

  • Work with legal representatives as needed to develop and insert appropriate legal protections in contracts.

  • Administer commercial and financial arrangements with vendors to include billing, invoicing, performance incentives and remedies, and internal chargebacks, where appropriate.

  • Creating effective vendor management scorecards and dashboards that communicate clear and concise vendor performance management metrics aligned to IR business objectives.

  • Develop strong relationships with IT managers and business owners to support enterprise objectives and influence key stakeholders (i.e. CIO, CFO, etc.).

  • Assist with handling internal contract-related complaints or disagreements from the business or other internal stakeholders.

  • Effectively communicate a clear and concise contract overview (summary of key contract terms, risks, opportunities, and service delivery guidelines) to key stakeholders, and provide clarity on contract elements when required.

  • Be responsible for ensuring that pricing is competitive by conducting price analysis benchmarks as needed prior to contract renewals.

  • Develop regular reports on contract milestones, execution and risk, and inform internal stakeholders, vendors and management of activities and progress through regular written and verbal communication.

  • Assemble and analyze vendor performance data, and identify key trends, such as innovation, flexibility, corporate and social responsibility, and market penetration.


Qualifications and Experience

  • Bachelor's degree in business, economics, computer science, mathematics, statistics or finance or related field of study.

  • Minimum of five years' experience with managing contract life cycles, with an emphasis on technology or IT service agreements.

  • Experience in managing complex contracts in one or more IT categories, including hardware, software, service, and communication.

  • Experience working with all key departments (security, compliance, finance, tax, AP, legal and procurement), and knowledge of procurement and vendor management practices.

  • Strong interpersonal and communication skills.

  • Experience determining contractual and financial exposure and negotiating contracts.

  • Knowledge of best practices for IT contract negotiation tactics and strategies, provisions, licensing models, and contract and vendor performance models.

  • Strong analytical skills are required, in particular, an understanding of basic statistics and a proficiency in Excel.

  • Strong organizational and time management skills.

  • Strong project and process management skills with the ability to handle a wide range of tasks.

  • Ability to understand contract risks and to work with other parts of the organization in crafting tactics and strategies for risk mitigation.

  • Experience evaluating bids against a broad set of evaluation criteria and providing recommendations for vendor selection.

  • Travel required - 10%
