Facilities Maintenance Parts/Purchasing/Inventory CLERK - hourly/non-exempt

Vanguard Resources Inc. (VRI), an Industry Leader in Facilities Management, (maintenance, housekeeping, dietary, security, grounds keeping, etc), celebrating 26+ years in operation, (still family-owned & operated), is actively recruiting for an hourly, non-exempt, Full-time Facilities Maintenance Part/Purchasing/Inventory Clerk to assist supporting our Facilities Maintenance team with maintenance parts activities, (purchasing/invoicing), inventory, and work orders, as well as other task/projects at our Client facility, on far west side of San Antonio, Texas. The clerk will order and receive/issues parts and supplies and organize and maintains inventory records for all parts stock, ensuring the stock level does not fall below minimum levels. This position also maintains a computer database of all part numbers and enters information such as manufacturer, will communicate with suppliers and maintenance departments regarding order status, delivery times and shipping information.

The Facilities Maintenance Part/Purchasing/Inventory CLERK will be paid depending on skills & prior experience.

The Facilities Maintenance Part/Purchasing/Inventory CLERK’s normal Work Schedule: Monday – Friday; Day shift: 8:00 a.m. - 4:30 p.m.

The ideal Facilities Maintenance Part/Purchasing/Inventory CLERK candidate must be able to work successfully within a team environment, possess excellent communication skills, must be customer-focused & friendly; must be willing to learn, take on new tasks and be a self-starter. The Facilities Maintenance Part/Purchasing/Inventory CLERK must possess excellent customer service skills, a delightful telephone presence, display high-level of attention to detail, and preferably have exposure/experience in invoice processing/purchasing.

Facilities Maintenance Part/Purchasing/Inventory CLERK Job "Summary", includes, includes but is not limited to the following >>>

Facilities Maintenance Part/Purchasing/Inventory CLERK performs & coordinates a variety of duties for our maintenance team leadership & technicians assisting on work order calls, work order capture in the computer; providing overall light clerical assistance to the entire Maintenance & Engineering Department.

  • Ordering maintenance parts on a day to day basis when needed
  • When part comes into shop, verify that the part is the correct part
  • Maintain inventory list – a parts order list as parts are ordered, scheduled, and completed
  • Updating others on status of parts
  • Communicate with techs when needed
  • Making sure the warranty part is returned to the warranty processing person
  • Assist facilities team in filling the day to day restock requests from the service techs
  • Pull requested parts for technicians
  • Sort and stock parts receivables
  • Enter and retrieve data from computer system
  • Stock and audit inventory on a daily basis
  • Fulfill orders from inventory
  • Maintain clean and organized workspace
  • Work order system 'reporting', as needed
  • Any maintenance team regulatory documentation/reporting, as needed
  • May assist leadership team with other clerical functions, as needed
  • Will be expected to be reliable, dependable, professional and efficient in their work
  • May be required to cross train on Office Manager’s duties, as possible back-up, if needed
  • Maintains compliance with Vanguard Resources’ standards of operation & adheres to Vanguard Resources’ Conduct Policy at all times.
  • All other duties and projects as assigned by VRI management

Facilities Maintenance Part/Purchasing/Inventory CLERK Qualifications/Requirements:

  • Position requires high school diploma or general education degree (GED).
  • Minimum of 1+ year(s) experience in an administrative/office support/clerical role preferably
  • Exposure working within a maintenance department or around maintenance work/work orders is a PLUS
  • Exposure/experience in invoice processing/purchasing is PREFERRED
  • Working knowledge using MS Office computer programs is REQUIRED
  • Detail-oriented is a MUST!
  • Ability to multi-task, with frequent interruptions, is a MUST
  • Prefer someone with ability to follow instructions, follow-up routinely on open action items & possess desire to own and/or improve assigned work and responsibilities.
  • MUST be flexible & adaptable to change
