Position Summary

The Interlibrary Loan Borrowing Assistant works as an integral part of the Duke University Libraries Interlibrary Request Unit. Primary responsibilities include processing requests for Duke University patrons for library materials from other institutions and electronic delivery requests for Duke patrons. Additional responsibilities include supporting scanning operations for electronic delivery; assisting specialized ILL staff with supervision of student assistants and monitoring financial transactions arising from loaned and requested material, and maintaining documentation and training materials related to their work.

Responsibilities

  • Processes Duke user requests for materials held by other institutions and electronic delivery requests for items from Duke University Libraries’ collection to support the research, teaching, and learning mission of the university.
  • Sets priorities for daily workflows and helps other staff resolve problems related to filling requests.
  • Assists patrons and library staff in interpreting Interlibrary Loan policies and understanding procedures.
  • Serves as a primary contact for borrowing transactions with other institutions and responds to patron inquiries via email, phone and in person.
  • Works with the ILL Accounts and Billing Specialist to produce billing invoices, verify charges and troubleshoot related issues.
  • Establishes good communication and working relationships with other departments throughout DUL such as subject specialists and cataloging staff.
  • Assists with other functions of the ILL unit, such as lending and digital delivery, when needed.
  • Assists in training student employees and guiding their daily workflow.
  • Works in a manner that aligns with the Duke Libraries User Service Philosophy by providing helpful, reliable, and consistent service to internal and external customers as a result of fostering comfortable, empathetic interactions and accepting the responsibility to assist them and each other in harassing or discriminatory situations irrespective of race, age, sex, gender identity, sexual orientation, national origin, or any other marginalized identity feature.

Qualifications

Education:

Required: Two years post-secondary education or equivalent combination of relevant education and experience.


Preferred: Bachelor’s degree


Experience:

Required: Requires one year of library experience to obtain specialized knowledge of library systems and procedures; excellent interpersonal, oral, and written communication skills; able to work independently and as a member of a team; demonstrated proficiency using computer-based technology and ability to adapt to new technologies; ability to effectively organize and prioritize daily work; demonstrated commitment to providing outstanding customer service.


Preferred: Prior experience working in an academic research library; knowledge of Interlibrary Loan procedures and processes; familiarity with ILLiad and other related software specific to interlibrary loan; ability to work well in a dynamic environment while maintaining quality control.

Working Conditions

Salary and Benefits

$19.34 per hour (minimum). Comprehensive benefits package upon eligibility includes vacation, 14 holidays, sick leave, health, dental, disability, life insurance, educational assistance, and tuition grants. This position is not eligible for relocation assistance.
