SUPERVISED BY: Program Director

BASIC FUNCTION: The Intake Coordinator/Custodian of Records provides coordination to the MDT and Intake team and processes all records requests for the Organization.

QUALIFICATIONS:

  • High School Diploma or equivalent
  • Bilingual Preferred (Spanish/English) with pay differential included
  • Experience as a legal assistant or working with legal records preferred
  • Highly motivated, possessing organization skills with attention to details, and ability to handle multiple responsibilities effectively and with discretion
  • Independent worker and able to function as a team player with initiative and flexibility
  • Knowledge of child abuse system and the family dynamics of child abuse.
  • Excellent people and communication skills
  • Computer literate
  • Willingness to attend related training

RESPONSIBILITIES

Intake/MDT Coordination:

  • Schedule interview appointments.
  • Oversee the securing of necessary client information and the completion of intake/tracking paperwork. Maintain intake record files.
  • Oversee the client waiting area, maintaining safe, orderly and calm atmosphere.
  • Responsible for preparation of DVD official recording labels, DVD other official recording of interviews, maintenance of DVD or other official recording device library of forensic interviews, copying DVD or other official recording device contents in response to subpoenas and maintaining a log of interview DVD or other official recording device media checked out of and into the library.
  • Control use and tracking of all CAC forensic interview device media.
  • Coordinate client intake information.
  • Schedule cases for the Multidisciplinary Team (MDT) Review, create and distribute MDT agendas to participating agencies, notify MDT members of business meetings, attend MDT meetings and revise data as needed.
  • Schedule quarterly Fatality Review meeting, fill out required forms and submit to the state.
  • Assist in coordinating trainings for law enforcement, as requested by the Regional Training Team.
  • Enter client intake information in the CAC’s applicable computer tracking program or coordinate data entry with the Data Coordinator.

Clerical Responsibilities

  • Provide administrative support to the Program Director and Intake Director.
  • Maintain Intake calendar.
  • Process all request for records received by the CACJC.
  • Maintain training records for the MDT members as requested.
  • Provide back up to the Therapy Receptionist.
  • Provide coordination of referrals to other service departments.

Other:

  • Observe all agencies policies and procedures as well as MDT related policies and procedures.
  • Attend training required by the Executive Director or Program Director.
  • Maintain confidential information and adhere to policies and procedures relating to safeguarding client information utilized by program staff.
  • Promote the Children’s Advocacy Center in a positive manner and maintain a professional image at all times, to all persons encountered while carrying out the mission of the CAC and individual job assignments.
  • Encourage teamwork through cooperative interaction with employees and volunteers.
  • Other tasks as assigned.

COVID-19 CONSIDERATIONS

We are a health care facility and as such masks are worn in all areas where clients receive services. Health screenings are in place for visitors to our facilities. Proof of COVID-19 vaccination or exemption is required.

Job Type: Full-time

Pay: $18.00 - $19.50 per hour
