Position Description

Responsible for reviewing offense reports, and transferring reports into the Record Management System (RMS) and Uniform Crime Report (UCR) system. Assist with entry, modification, cancellation, and validation of articles and guns in the National and Texas Crime Center database. Ability to exercise good discretionary authority and work with minimal supervision and instructions. Reporting Systems Clerk will have access to confidential and sensitive information. Organize, maintain, and order office supplies. Interact with Bureau Assistants, the general public, and service providers.

Duties and Responsibilities include but are not limited to the following:


  • Maintains filing system of memoranda, letters, documents, and other materials for assigned duty section
  • Answers telephones, takes messages, provides information, and refers inquiries to appropriate locations
  • Types and distributes reports and correspondence; enter computer data
  • Complies with civil service, departmental, bureau, and division rules, regulations, and standard operating procedures
  • Communicate effectively and liaison successfully with multiple organizations and businesses including law enforcement agencies and the public
  • Comply with expunction orders
  • Assists in training others on specific issues within the assigned duty section
  • Assembles, organizes, and tabulates data, and develops charts, graphs, and tables
  • Coordinate work between organizational units of the department
  • Occasionally function as section leader when designated by a competent authority
  • Exercise discretion and maintain confidentiality
  • Keep track of Calendars and schedule meetings
  • Performs other assignments and duties as required and/or necessary
  • Routinely complete payroll duties

Requirements

  • High School Diploma or G.E.D.
  • A minimum of one (1) year of paid work experience in an office environment performing clerical duties
  • Pass the pre-employment HCSO Clerical Skills Test with a minimum overall score of 75% and score a typing speed of 35 WPM with 85% accuracy (additional testing may be required)
  • Experience in Law Enforcement and information technology

  • Proficient with report writing skills and communicating effectively

  • Excellent written communication with proper use of grammar, spelling, and punctuation
  • Highly organized and able to compile data for record-keeping purposes
  • Maintain accurate electronic documentation of daily records
  • Excellent time management skills and effectively prioritize and schedule multiple tasks/initiatives
  • Detail-oriented, self-motivated and results-oriented
  • Highly proficient in the use of Microsoft Office Suite ( Word, Excel, Outlook ) and Adobe with the ability to learn new software and become proficient shortly after training
  • Above-average written and verbal communication
