Position Summary

The main priority of the position includes management of efforts in the areas of HR operations and compliance, HRIS, compensation and benefits, State University Retirement System (SURS) administration, employee recordkeeping and data integrity. As a seasoned HR Generalist, provide support to the Executive Director Human Resources in carrying out Human Resources functions. Provide customer service to leadership, employees, students, and external customers; work closely with Accounting, Academic Affairs, Payroll, and IT while maintaining confidentiality of Human Resources information. Manage HR-related technology projects and relationships with Information Technology and Ellucian systems vendors, ensure security of HR and Payroll data and test, troubleshoot and help resolve HRIS issues. Coordinate a total HRIS strategy, fully implementing all relevant functionality that enhances the customer experience and HR efficiency.

Essential Job Functions and Responsibilities

  • Management of ERP/HRIS employment data, including, but not limited to, information needed for accurate Illinois Community College Board (ICCB), CBA’s.ACA and IDES reporting and compliance, surveys, reports and special projects, benefits census reports, employee counts, department lists, information needed to generate accurate payroll reporting
  • Manage data entry into the College’s ERP and other HR systems to maintain accuracy and integrity of all personnel data. Manage audit processes to ensure data integrity
  • Initiate the implementation of innovative HR technologies to enhance HRIS, benefits, employee development, compensation, and employee records retention. Identify opportunities to improve overall HR and payroll-related processes with the use of technology, while maintaining compliance with all policies and procedures, collective bargaining agreements, and federal and state regulations
  • Manage the collection and data entry of educational information on administrators, faculty and other required positions, working closely with academic leaders and Deans to keep adjunct faculty records current
  • Manage position control, system updates to salary ranges and labor contract terms for all Administrative, Faculty and Staff positions
  • Participate in market research and pay surveys, analyze workforce demographics, industry trends total rewards data to ensure market competitiveness
  • Calculate and project salary information for faculty, administrators, and staff for budget preparation, salary increases, and new employee offers; manage assignment process and coordination with payroll and processing within ERP system
  • Act as project lead for HR related software implementation projects, including scope, testing, rollout, communication, and training
  • Provide ERP/HRIS training for new office personnel
  • Coordinate the Position Classification and Reclassification processing within the ERP
  • Keep current on all SURS regulations regarding certifications, terminations and retirements
  • Oversee and process all SURS retirements in accordance with Board Policy and employee contracts, process requests for service-related data, and calculate final contracts with 6% increase
  • Maintain all position titles and keep range placements up to date for Staff Council
  • Participate as a strategy resource on the Board negotiation.
  • Responsible for accurate regulatory reporting and compliance with the Affordable Care Act (ACA), 1095C’s and State Universities Retirement System (SURS) and other HR related regulatory reporting and compliance requirements
  • Assume additional duties as assigned by immediate supervisor. May perform HR generalist duties including staffing, onboarding, benefits

Required Qualifications

  • Bachelor’s Degree from a regionally accredited institution preferred
  • Five or more years experience in a Human Resources office working with confidential data
  • Five or more years of database management experience
  • Experience and comfort working with calculations
